Meeting Minutes
Quorum at 7:00PM
Attendees: Amy Finkel Hastings, Ellen Sturgis (Co-Chairs), Michael Wood, Craig Martin, Gary Bernklow, Lynn Colletti and Stephen Quinn. Associates David Korn, Lisa D’Alessio & Greta Morgan.
Announcements

Approval of September 15 minutes
Clarification regarding educational component: was not part of the SBTF discussions but may be an interesting possibility. Steve & Lynn arrived at 8:10, not 8:30.
Gary moved to approve as amended, Michael seconded. Unanimous
Recent MSBA Approvals
We received email notification to go ahead with OPM hire. Still have question about the one school/combined school possible scenario, given that all references are to a smaller project (took out the $33MM estimate). Center is still mentioned however.
OPM Interview/Hire schedule
· RFS will be available on town website 9/24/08
· RFS will be in Stow Independent 9/24, 10/1
· Will be posted on Central Register 10/1 and 10/8
· 10/9 Information session 10am in Town Building: Michael will lead, Ellen will attend. Notes will be taken by Aleta. Tours of schools to follow
· 10/10 Last day for questions: Michael is recipient of all questions (hopefully in writing) and will send out answers to all by end of day Friday. Ellen will track all inquiries in conjunction with Susan
· 10/17 proposals due to Selectmen’s office (Craig will provide back up). Ellen & Amy will make sure all are distributed by end of day Friday.
· 10/27: Committee will bring score sheets together and create a short list 3-5 firms to interview
· Aleta will schedule interviews for 11/3 and 11/5
· Ellen will contact those firms not chosen for interviews
· Week of 10/27: Craig & Michael will check references.
· Interviews will be held starting at 1pm on Monday, 11/3 and if needed Wednesday 11/5 starting at 6pm. Steve, Craig, Amy & Michael are the interview team, though rest of committee is welcome. Deliberation and decision will be on Wednesday night following last interviews.
· 11/10: need to submit candidate to MSBA with all related documentation
Interview Questions
The committee developed a set of questions which will need to be pared down by the next meeting (see separate list), recorded by Michael.
Question raised about when MSBA will let us know if our Master Plan can be used? We presume after we’ve hired the OPM. Also discussed that we could start the process for hiring an architect in late November (getting docs together, etc).
Next Meeting Date
September 29, to agree on refined list of interview questions, and to create reference check questions.
