7:00 PM

TOWN BUILDING

AGENDA

Attendees: Amy Finkel Hastings (Co-Chair), Craig Martin, Gary Bernklow, Lynn Colletti, Stephen Quinn, Ellen Sturgis, Greg Irvine; Dave Korn, associate.

Minutes Volunteer – Ellen

Invoice from Stow Independent for $174.00 for two weeks’ posting of OPM RFS. Ellen motioned to approve, Amy seconded. Unanimous.

Committee had each evaluated eight proposals for OPM and then ranked them using the same Criteria Ratings Sheet.  These were posted up on the wall and then the top four were identified (attached to minutes).  The top two (Joslin Lesser & RMWalsh) were clearly superior.  The committee discussed variances on the next two (SBS and CMS) and agreed that these were the right four to move to interviews.

As agreed previously, Craig and Michael will call references; Ellen will call those not chosen and will confirm that Aleta (MW’s assistant) will schedule the four for interviews.  The interview schedule will be Monday November 3 1-5pm and Wednesday 6pm for one firm and then the committee will deliberate and make a decision.  Craig believed he and Michael could get out a summary of references before the interviews on Monday.

Minutes of September 29 were reviewed; Amy moved to approve as amended, Craig seconded. Unanimous.

Ellen reported that selectmen are having town counsel review the plan for the town to accept funds on behalf of the building project (tax-exempt).

Action Items:

·         Reference checks: Craig/Michael

·         Firms not chosen for interviews: Ellen

·         Scheduling interviews: Aleta (Ellen will confirm)

·         Post interview schedule: Ellen

Amy moved to adjourn at 8:25pm; Steve seconded. Unanimous.

Respectfully submitted,

Ellen S. Sturgis
