MEETING MINUTES JANUARY 13, 2016

Our consultant for procurement of operating equipment in meeting rooms/studio/control room, Michael Ridinger, was introduced by Paul Mattson. Paul directed the committee and Michael to discuss the three (3) bids that had been received for operating equipment. One of the first questions that came up was the substitution by Access of Lumens cameras for Sony cameras. Michael said that he was not familiar with the Lumens, but would do some checking about them. There was talk that Sony was phasing out the camera that had been specified—Michael stated that he was not aware of that, but would also check that out. A question arose as to the length of cables specified by Access. Michael stated that he felt that over long cables were to be desired in case of moves, new equipment need, etc.
Following much discussion Addison moved to eliminate HB from consideration as a viable bidder; Kathy 2nd—unanimous.
It was agreed that we needed to compare the Access bid with Camera Co. bid pricing and attempt to determine if the two (2) bids were apples-to-apples in terms of material offered. Michael will report back to the committee before our next meeting regarding Lumen (camera) and Sony.
We recessed for 15 minutes to show the facility to Michael.
Reconvened at 7:50 P.M.
After reviewing the three (3) bids for carpeting the new area, including control room and studio, Kathy moved that we award the carpeting contract to the low bidder C & S carpets of Rutland at a bid price of $5250.00; Paul 2nd—unanimous. It was decided to wait for next meeting to pick a carpet color.
Addison suggested that we discus additional furniture needs at next meeting.
