Rutland Cable Advisory Committee
Meeting Minutes – December 2, 2015
Present were: Chairman Paul Mattson, Kathy Clark, Addison Redfield, Brenda Savoie, and guest Skip Clark. Ray Becker was absent.
Town Administrator Margaret Nartowicz arrived at 7 pm to assist with the bid opening.
The meeting was called to order at 6:35 pm.
Minutes
A motion to approve the minutes of November 18, 2015 (Kathy/Addison) passed 4 /0.
Bills and Accounts
Reviewed Treasurers Report with a current balance of $260,300.32 and signed off on new bills.
A motion to accept the Treasurer’s Report (Addison/Kathy) passed 4/0.
Old Business
Studio Updates:
- Addison received 1 quote for carpeting that included the expanded area in the studio.
- Addison is ready to purchase paint for the trim and doors
- Paul noted the lock situation has been resolved at this time; however the Library may need to be rekeyed.
Tom Cohen from Charter is working to get approval for Rutland to have access to the Wachusett channel.
Paul is working with Charter to address concerns on whether the existing camera equipment will be supported by the SWIT system. He wants to ensure any new purchases are supported.
New Business
Cable Television Production Equipment and Installation Bid Opening
At 7:00 pm the Chairman opened the Bids.
A representative from HB Communications was present.
A total of three bids were received and recorded on the Bid Certification sheet:
- Access Audio Visual came in at $58,201 for equipment and $8,900 for installation
- Camera Company/Integrated Solutions Group came in at $45,852 for equipment and did not provide pricing for installation
- HB Communications came in at $77,929 for equipment and $23,918 for installation.
The bid from HB Communications included additional items they felt were needed but not requested in the IFB. Margaret explained that at this time the Committee is merely certifying the bids and may choose to contact any of the vendors for clarification or additional information. The contract will be awarded to the responsive and responsible bidder offering the lowest total price.
Meeting was adjourned at 7:55 pm. All were in favor.
