NEWTON RECREATION COMMISSION

MEETING MINUTES
- Call to Order: 8:05pm
- In Attendance: Annie Collyer: Chair, John Neveux, Brian Theirrien, Ray Thayer
- Introduction of Guests: Deb Card, Sue Milner
- Approval of Minutes: Minutes from January 20, 2014
Theirrien motioned to accept the minutes as written. Thayer seconded and the motion passed unanimously.
New members to the commission are getting familiar with the proposed budget as accepted by the BOS unanimously , and being put forward to the voters in March. Brian was not aware of the shift taken in this budget to move monies previously spent for staffing the Town Beach to investment in Greenie Park as an experiment for 2014. It was agreed that Brian would do some investigation into beach alternatives and the members would discuss further in the Feb 17 meeting.
- New members and officers: Brian has been accepted by the BOS and still needs to be sworn in. Annie nominated Brian Theirrien as Vice Chair and Treasurer. John seconded and the motion passed unanimously.
- Deb Card was asked to serve as secretary and accepted. Annie made a motion to recommend to the BOS that we hire her at a Grade 10 Step 2. John seconded, and the motion passed unanimously.
- Marilyn Landry’s resignation was accepted with thanks.
- Annie recommended that 1) that we amend our bylaws to permit up to 3 alternate members and 2) that Sally Woodman serves as an alternate on the REC board. John seconded both recommendation, and the motions passed unanimously.
- Scheduled Business:
- Greenie Park Master Plan: Annie stated that there has been much excitement on the Facebook Newton Community and Voters Pages for our Greenie master plan. Annie also stated that she has begun messaging local businesses on FB on possible donations for the Park, as well as campaigning for passage of our warrant articles. All members are urged to join the FB Newton NH Recreation Committee, Newton NH Voters and Newton NH Community and Friends FB pages to see what is being posted there, and for publicity of our events going forward.
- 2014 Projects:
- Golf Tournament Fundraiser: The envelopes have arrived for the donation paperwork and are ready to go out to local businesses. Brian and Annie had a meeting at Merrimac Savings Bank to speak about their possible donation. The bank was able to give out the names of golfers who might be willing to support. John suggested we have a 5’x5’ picture showing the plans for the natural playground at a cost of $200. Brian moved to pay the $200 for the sign and John seconded and will be in touch with Kinkos. John, Sue and Deb will get into the room for doorknocking supplies and begin their doorknocking for donations and sponsors for Greenie and the golf tournament: John will go up and down Rte 125, Sue will do the same with Rtes 108 and 110, and Deb will go into Kingston and Exeter. Ray will speak with
a few businesses as well. Annie has agreed to act as a clearing house for contacts made, and all members need to let her know where they have gone, the results and follow-ups planned. Annie and Brian will continue to solicit for some major sponsors. It was noted that cash is needed, and both building materials for Greenie like clean fill and topsoil as well as quality auction items are all sought as donations. Frank Gibbs indicated he has loads of fill and boulders, and it is to be determined if this is qualifying fill.
- Vacation Plan: Skateland has been booked for February 27, 2014 from 5-7pm with a $3 fee for skate rentals. John made the motion to ask the BOS to pay the invoice for $350 for the booking, out of the Special Events line item, Brian seconded, and the motion passed unanimously. It was then discussed on how to advertise for this event, with thoughts of reaching out to the Memorial and Middle schools to be included in their announcements. John agreed to be the point person for this.
- Adult Dinner Dance: Annie has asked for credentials on the chef for our publicity purposes.
- Trails: Annie met with the teen who has agreed to make the signage for the trail heads, and his advisor. He is going to be making a map of the trails for greenie, as well as signage for the trails. He will be making these signs with a type of plastic wood that should stand up to the weather. To help them stand out, it was decided to use a white background with black lettering.
- Announcements: We have sold out of the Amesbury Sports Park Tickets and 20 more have come in.
- Other Business: Changed the meeting hours from 7-9 pm to 7-8:30 pm.
- Correspondence: Annie made a motion to pay King Graphics $75 for the envelopes and to have it taken out of the supplies account.
