Meeting Minutes
  • Call to order 10:05 A.M.
  • In Attendance: Marilyn Landry, Chairperson; Kathy Meserve, Treasurer; Anne Banks, secretary; Sally Woodman, alternate; Terry Caswell, Director.
  • Minutes from the Previous Meeting (10/08/2014): Kathy suggested we remove the word ‘permanent’ from the description of Jillian Holmberg’s position in  section 11 to read as follows: ’grade IV/5 to IV/7’. No other changes were proposed. Kathy motioned to amend the October minutes as proposed. Marilyn seconded and the motion passed unanimously. Anne motioned to accept the October minutes as amended. Marilyn seconded and the motion passed unanimously.  
  • Minutes from the October Budget Meeting: Marilyn motioned to accept the minutes from the October Budget Meeting as written. Kathy seconded and the motion passed unanimously.
  • Minutes from the nonpublic session during the October 8th Trustees Meeting: Marilyn motioned to amend the October nonpublic session minutes as proposed. Kathy seconded and the motion passed unanimously. Marilyn motioned to accept the nonpublic minutes as amended. Kathy seconded and the motion passed unanimously.
 
  • Correspondence and Communications: None.
  • Library Director’s Report: Marilyn motioned to accept the Library Director’s Report as written. Anne seconded and the motion passed unanimously.
  • Treasurer’s Report: Kathy reviewed with us the YTD Profit and Loss and the Quarterly financials. Marilyn motioned to accept the Treasurer’s Report as written. Anne seconded and the motion passed unanimously.
  • Unfinished Business:
  • Final Proposed 2015 Proposed Budget Review: Trustees discussed the budget and adjusted totals based on information from town hall. The Library’s budget hearing will be on the evening of November 18th. Kathy and Anne will go to that hearing. Terry will send the Trustees and town hall her proposed budget prior to that meeting.
  • Director’s Annual Evaluation Review: Terry thanked the Trustees for their comments and stated she will strive to continue meet the needs of the community and build the Library’s collection.
  • Building Maintenance Review: Terry has asked for an update from Ron LaMere, copying Nancy Wrigley, on the repairs needed for the building fire escape as requested by Chief Ingalls. She has not heard back but hopes to in the next day or two. Regarding the outside lighting which has not been turning on appropriately at dusk, the repairs will be done and town hall will pay for those repairs.
  • Circulation Policy Review and Signage: Trustees reviewed the policy which we voted to amend at the last Trustees meeting. We all signed the policy as it is now written.
  • New Business:
  • NHLTA HR Session: Kathy and Anne talked about the various topics covered: Katherine Deforest on “RSA’s Concerning Employment” and Adele Knight on “Personnel Policy Review”. The sessions raised several questions for us, such as any mention of ‘probationary period’ or ‘employee at will’ in our policies. Kathy and Anne will review the policies we have to be sure they are compliant.
  • 2015 Holiday and Trustee Meeting Schedule: Marilyn listed all holidays and Trustee meetings based on previous norms. Kathy motioned to accept the lists of holiday closures and Trustee meetings as written. Marilyn seconded and the motion passed unanimously.
New Hampshire Downloadable Books Voting Results: The voting has been tabulated and the addition of the ‘Buy It Now’ button passed 47-39. This means Simon and Schuster and possibly other publishers will be added to the list of publisher’s books that are available from NH Downloadable Books.
  • Collection Policy Review: Marilyn suggested moving this agenda item to next month.
  • Acceptance of Donations: Patrons donated $1.35 in October. Anne motioned to accept patron donations of $1.35. Marilyn seconded and the motion passed unanimously.
  • Friends News: The bake sale at Town Elections brought in about $300. Someone at the elections also donated $100 to the Friends bringing the total to over $400. The friends have put together many Gift Baskets to raffle off as a fund-raiser. They are already on display at the library and raffle tickets are available.
  • Monthly Invoice Review and Initialing: Invoices were reviewed and initialed.
  • Next Trustee Meeting: Wednesday, December 10 at 10:00 A.M.
  • Adjournment: 12:00 P.M.
