MEETING MINUTES


  • Call to Order: 10:00a.m.
  • In Attendance: Marilyn Landry, Chairperson; Lynne Camp, alternate/acting Trustee, Sally Woodman, alternate/acting secretary; Terry Caswell, Director
  • Secretary’s Report:
Marilyn motioned to accept the minutes as written for the June 12, 2013 meeting. Lynne seconded and the motion carried unanimously.
  • Director’s Report:
Sally motioned to accept the Director’s report as written. Lynne seconded and the motion carried unanimously.
  • Treasurer’s Report:
Marilyn motioned to accept the treasurer’s report as written. Sally seconded and the report passed unanimously.
  • Communication and Correspondence: Terry showed the board a flyer from Palmer Gas/ Ermer Oil offering Town of Newton employees and volunteers the possibility of a 25% discount on their fuel bill.
  • Unfinished Business:
  • Terry has been in contact with the Kingston Library Director, Sarah Sycz Jaworski, in order to arrange a meeting between the Kingston Library board of Trustees and the Gale Library board of Trustees. After some discussion it was decided that the October time frame worked best for us. October 23 and 30 were suggested with the 23rd of October being preferred by us. Terry will follow up with Sarah.
  • Follett Hardware Order and Installation: The purchase of a 5100 scanner for $199.00 and an Indigo Printer Kit for $349.00 has been made and received. Terry will install the hardware within the next week.
  • Len brought some siding samples from Portsmouth to repair the damaged ones on our building. Unfortunately they did not match. Len said he would try to find other samples. A request was made to the cleaning company, Design Tech Group, LLC, for additional detail to the window sills throughout the library due to pollen and dust that has collected. A Coco Fiber Half Round In-Laid 18x30 inch doormat for the front entrance has been received. The air conditioners have been installed for the season. Len has cleaned the small recycling shed near the rear entrance to the building. It will still need further work to remove discoloration.
  • New Business :
  • Newton Town Day: Jessica Braisser held a meeting to discuss the Newton Town Day. A representative from the PTO was in attendance and described what they were going to do as it was decided to run Newton Town Day in conjunction with them. Many ideas were brought forth but nothing was decided on for certain. Jessica plans to hold another meeting. Marilyn suggested that since the Historical Society is having an "open house" at the School House and Marshall House that maybe it would be a good idea to have an "open house" at the Library with activities for the children.  The Trustees will discuss Town Day in more detail at the August meeting.
  • Terry looked into prices for phone service. It was found that what the library was now using, EarthLink was the cheapest. All members in attendance agreed that it was best to remain with EarthLink.
  • Older Model Portable TV and DVD Player Options: The board discussed the options and because the TV and DVD are old and take up precious space in the library it was decided to see if they could be used by anyone else.  The Trustees will discuss in more detail at the August meeting.
  • Reference Collection Location: Terry met with Ann Hoey, Youth Services Coordinator of the New Hampshire State Library, on how best to streamline research for Gale patrons. All references are now located on the lower level of the library. This will allow streamlined research and also free up much-needed space in the J Series book collection.
  • Acceptance of Donations-Patrons $1.65:
Sally motioned that we accept the patron’s donation of $1.65. Lynne seconded the motion and it carried unanimously.
  • Friends’ News: The Friends of the Library purchased a small table the library needed. The Friends enjoyed a luncheon with the Trustees on Tuesday. The Friends will not be meeting again until September.
  • Monthly Invoice Review and Initialing:
  • The Trustees reviewed and initialed invoices.
