Library Board of Directors Special Meeting Minutes
Present: Paula Enderle, Suzanne Chapman, Roberta Passardi, Shirley Ernst, Katherine Kalagher-Ryan

Donation Challenge Discussion:
a)The Willington Public Library Board gathered at this special meeting to discuss ways in which to kick off the new fundraising challenge offered by the Becker-Patton family.
b)The board examined a general mailer from the Willington Scholarship Foundation to get an idea of how to format the mailer we will be sending out to residents of Willington.
c) It was decided unanimously that the Friends of the Library and the Library Board will send out a General Mailer in the month of May, and start fundraising over the summer months, but will host an official kick-off in the Fall.
d)Board decided that the letter should explain the different levels of giving, and then discussed the possibility of donors receiving a gift for donating money. Suzanne Chapman suggested giving out small gift bags. Paula Enderle suggested offering donors a free one-year membership to the Friends of the Library. Roberta Passardi is going to check with the Friends of the Library to make sure it is okay to offer donors free membership.
Katherine Kalagher-Ryan suggested offering businesses free advertisement on the library website if they donate to the challenge. The length of their advertisement would be based on the size of the donation.
e) All were in agreement that a general mailer will be sent out to all Willington households, and all will be labeled “Postal Patron” instead of being personalized to each household because this will be less expensive. Whether or not the general mailer would include a return envelope for patrons to mail in their donations was left undecided at this point.
f) Shirley Ernst suggested naming the challenge “Willington Public Library Donation Challenge”. Roberta Passardi suggested naming the challenge “Willington Public Library Fundraising Challenge”. Roby also said that Kathy Lisiewski is going to make the thermometer for the Library Lobby, so patrons can see how well the fundraising is coming along.
g) Paula Enderle and Katherine Kalagher-Ryan are going to draft sample letters for the general mailer to bring it to the May 11th Board Meeting.
Suzanne Chapman offered to draft up some press release samples. She also suggested buying an add in the Reminder to help publicize the donation challenge to residents in the surrounding towns in addition to Willington.
Suzanne Chapman made a motion to adjourn at 9pm.
