Library Trustees Meeting Minutes 6/30/2009

Call to Order:  The meeting was called to order at 3:32 p.m.

Present:  Carolyn Locke, Gloria Gery, Penny Babbitt and Library Director, Jessica Kelmelis.    

Minutes:  The minutes of the March 24, 2009 Trustees meeting were approved as read.

Old Business:

2009-2010 Budget.  The level-funded budget was approved at the May 10, 2009 Annual Town Meeting.

State Funding: $182 payment from the Commonwealth Library Commissioners has been received.  This is final payment of two payments for the fiscal year.

Online Library Loan Software Training: The Tolland Library hosted training for 7 area librarians for the online library loan software. If books cannot be located within the region, requests will be manually submitted for state-wise search.  Jessica will be training other library staff in software use.

Town Flag:  Graphical components for the Tolland Town Flag are complete.  Hillary Carl will complete the graphic rendering by September.  The goal is to have the flag complete and hung in the state Hall of Flags by July 2010, Tolland Bicentennial.  There is a plan to have flags available for order by residents.

Trustee Election:  Carolyn Locke was elected to an additional three year term as a Library Trustee (term ending in 2012).

Used Books Given to GTCSF Book Sale:  Books at the Tolland Library that were donated for sale by the library and those being released from circulation were brought to the May book sale for the Granville Tolland Scholarship Foundation.

New Business:

Library Exterior:  The siding on the library exterior continues to peel due to trapped moisture from the basement.  Discussions are being held with the Selectmen and DPW to determine whether funds are available to begin repair/replacement.  To reside the entire building with wood would cost approximately $9,000.  Penny Babbitt and Gloria Gery suggested that a dehumidifier be installed in the basement to automatically pump moisture outside.  Jessica will explore and report at the next meeting. There is no problem with humidity in the library itself.  Plantings will not be installed until the exterior is repaired.

Jessica will speak with Bob Maselek about the possibility of soliciting grants, but we are not optimistic about Tolland meeting grantmaker criteria.  Jessica will also explore funding sources from the Library.

Aetna Volunteer Grants:  Aetna has approved and will pay two $300 volunteer grants for retiree Gloria Gery’s volunteer work with the library.  The use of the grants is unrestricted.  Penny Babbitt will also apply for a 2009 grant since she is also an Aetna retiree.

Sale of Local Author Books:  It was unanimously approved that the Library will display and sell Granville and Tolland local author books in addition to the ongoing sale of note cards from the Historical Society. Items for sale will be at the discretion of the Library Director. Discussion concerning on developing a policy and criteria on use of the library for exhibitions and sale of goods/materials other than books ensued.  Gloria Gery will draft a policy for consideration at the October 2009 Trustees meeting.  

Library Events:  The Bead Shop event was a success with 11 participants.  Additional summer events are in the June Tattler and are posted on the website.  Reminders will be put on the website News and Notices/email distribution list one week before each event.

Next Meeting:  The next Trustees meeting is scheduled for 3:3 0 p.m. on Tuesday, October 6, 2009 at the Library.
