Trustees Meeting Minutes
June 6, 2006
Call to Order: The meeting was called to order by Chair, Carolyn Locke, at 3:35 p.m.
Present: Carolyn Locke, Gloria Gery and Librarian, Jessica Kelmelis. Penny Babbitt was excused.
Meeting Minutes: Minutes of the March 8, 2006 Trustees meeting were corrected. Carolyn Locke’s name was inserted to replace Carolyn Bartels. The minutes were approved as corrected.
Old Business
Capital Projects: Doors have been replaced. Interior painting is complete except for behind the book cases (which will be completed in the fall when carpeting is replaced). It is our understanding that the furnace does not have to be replaced. We are seeking written documentation from Eric Munson, Jr., Building Inspector, about this. Arnold Heating inspected the furnace on May 26, 2006 but we have no confirmation of the findings. Carpeting will be replaced after Labor Day. Three contractors measured.
One bid has been received. This is being handled by the Selectmen. Volunteers and Library staff will assist in moving books/furniture when carpet replacement occurs. The Library will be closed during the carpet replacement and final painting. Gloria sent a thank you to each volunteer who installed the doors on behalf of the Trustees.
Draperies: Draperies were removed for cleaning and will be hung again in the fall. Jessica might consider simply using valences instead of all the draperies. Draperies will be kept in the library closet until they are hung.
Property Insurance: Insurance to cover $100,000 in losses was obtained through the town’s insurer. We are now at adequate insurance level.
Inventory of books, furniture and supplies: Inventory completion was rescheduled to be completed by November 1, 2006. Copies of the inventory will be place on CD’s and kept offsite. A digital file may also be kept on the Town computer server at Town Hall.
Photography Exhibit for Nature of Tolland Day: Almost 40 pictures were submitted and most are hung. Gloria will post the exhibit on the website on Monday, June 12th. Jessica will make a special article on it in the Tattler. Visitors will have a written guide to the photos indicating the source/photographer.
Story Telling Event: The event is scheduled for August 10th and will be featured in the July Tattler.
Librarian Workshops: Jessica Kelmelis will attend a workshop on required statistical reporting to the State on Friday, June 9th in Whately, MA.
Library Budget: The Library budget was approved at the Annual Town Meeting in May.
New Business
Four Passes for Norman Rockwell Museum: The Rockwell Museum has offered four annual passes to the museum for use by Town residents for $100. The Trustees approved this subscription. A $25 check will be requested at the time residents take the tickets. Residents will have one week to return the tickets or the check will be cashed. Residents will be able to reserve ticket use. Jessica will feature these passes in a Tattler article.
Tolland Women’s Club Materials Stored in the Library: Jessica will contact Shirley Warner about either removing the materials being stored in the library bathroom – or will request that they be put in plastic storage containers.
Book Sale: Library books will be put on sale on June 24th during the town-wide event. After that they will be brought to the dumpster.
Next Meeting: The next Trustees Meeting will be on Wednesday, September 13, 2006 at 3:30 p.m. at the Library.
