The meeting was called to order at 4:30 p.m. by Acting Chair, William McKay. Carolyn Locke, Gloria Gery, and Tolland Librarian, Jessica Kelmelis, attended.
New Policy Definition: Overdue Books
Several individual library users have borrowed large numbers of library materials and not returned them. Librarian Jessica Kelmelis has recommended that the Board of Trustees adopt a revised overdue books policy. The following policy was unanimously approved by the Trustees and will be posted in the Library and published in the Tolland Tattler. The policy is effective immediately.
Any individual library card holder with items that are overdue by one week will not be allowed to borrow any other library items until all overdue items are returned. There will be no fines for overdue items.
Circulation Figures
Jessica Kelmelis will send each Trustee a paper copy of the annual report she sends to the State regarding circulation of items from the Tolland Library. The Trustees requested this information.
Library Information in Tolland Tattler
It was unanimously agreed that the Library should have new items and other event information in every issue of the Tolland Tattler. Jessica Kelmelis was asked to provide this information to the Tattler editor.
Library Budget
The Commonwealth sent an additional $749 to the Library. There are adequate funds between the State funds, Town of Tolland Budget and other miscellaneous income to purchase library items.
Black Fly Day Book Sale
Surplus and old books will be sold by the item and by the “bag” on Black Fly Day in June 2003. This sale was a success last year. Any unsold items will be destroyed.
Election of Library Board of Trustees Chair
Carolyn Locke was unanimously voted the Chair of the Library Board of Trustees effective immediately.
Meeting Schedule
The Library Board of Trustees will meet quarterly with the next meeting tentatively scheduled for August 25, 2003 at 4:30 p.m. It was requested that Jessica Kelmelis attend the meeting. The meeting date will be sent by Gloria Gery to the Town Clerk for posting.
Tolland Library Web site
The Board of Trustees unanimously agreed to develop a website to provide information on the library. The Town is interested in developing a site to encompass other Town departments. Since the Library has the benefit of the volunteer efforts of Phil Grannan of the Tunxis Club to develop its site, the Trustees agreed to proceed with a library site that could later be incorporated into the larger Town website.
Phil Grannan attended the meeting and it was agreed that the following information would be on the library site. He will provide a preliminary design to Gloria Gery for distribution to the Trustees. Phil can be reached at PhilGrannan@yahoo.com. Bill McKay will conduct further research on web hosting sites and provide a recommend. The goal would be to have a single web host for all town content.
