Meeting Minutes
October 1, 2013

Attending:  Erin Huggard, Julie Rose, Nancy Gilberg, Flora TonThat, Beth Melitto, Lynn Murray, Eva Mossberg, Marcia Lambert, Tony Keck

7pm meeting called to order by Chair Erin Huggard

New Business:  Janis Breeze has resigned as vice chair.  Tony was asked and accepted the role.  Julie has been working to form a new leadership team for next spring.  Nancy Gilberg has agreed to become the vice chair, and Tony Keck has agreed to become chair at that time.  A call has gone out for a note taker.  Any member interested in volunteering for this important role, please contact Julie or Erin.

  • “Bag It” film at Cinema Salem will be advertised in the newspaper community calendars.  A press release will be distributed at the end of October.  Nancy will post it as a FaceBook Event and will feature the sponsors and groups involved.  The file is a FREE viewing at the theater on Sunday November 3rd.  Please spread the word, as Salem becomes more pre-occupied with Halloween activities as the end of October draws near.
  • Big Bellies have been removed from and/or locked at many downtown areas for security reasons and issues during the month of Halloween and the opening evening parade.  
Old Business:  Book Swap in September had the best attendance ever!  Most books exchanged and the most people participated at all levels.  Things that were discussed at the meeting included:  Improve counting of people attending; Keep drop off door area clear and moving in the parking area (used to have volunteers when we had the swap at St. Anne’s); Sorting area needs to be reconfigured and should be conducted by members of the committee; the Green Disk box was filled with videos and more requests could be made to collect items for swap; Up-Cycle display was well received, now we need to use it to advance the project; consider changing the room set up/exit to provide an area for people to complete a survey and/or obtain information, or even sign up for the newsletter.’

  • Textile Drive for 11/23 will run from 8am to 3pm at Riley Plaza.  Goodwill is ready for the event.  Erin is working on an article for publication.  Julie suggested we have volunteers survey the folks dropping off textiles, as in the past.  Survey information has been very helpful.  Volunteer list will be circulated.  Need to get out some “save the date” notices and start talking this event up.  Lynn suggested creating a bookmark with events listed on the bookmark.  It was recognized that the recycle message should be given to the public in many ways and media, i.e. flyers, notice boards, FaceBook, newsletter, etc.
  • October 3rd Parade Update:  Erin, Tony and Julie have committed to walking in the parade.  Flora said she may be able to participate.  Meet at Shetland Park by 6 pm.  The dates for the March Book Swap and the November Textile Drive will be prominently placed in the parade.
Composting Update:  Surveys are still coming in.  Grant to provide the 13 gallon toters with a kitchen collection bucket will be provided.  Continuing to obtain information about the grant.  Will have more information in December.
  • On October 11th at 5:30 pm there will be a presentation in the Point Neighborhood about recycling.  Julie will be attending with Nancy, Beth, and Jeff Cohen.
GreenSalem.com and .org Update:  Janis will continue to help with the website.
Constant Contact Update:  Newsletter expense has been approved.  The newsletter is gaining circulation.  It was suggested that members forward the newsletter to as many people as possible and begin asking people if they want to receive the newsletter to strike up interest.  Any article contributors to the publication will be welcomed.
Mandatory Recycling Update:  The trial period is over.  Recycling is now mandatory.  Three short videos are to be made as part of the grant program.  Tony suggested creating a 2 minute video of the “Perfect Pickup” playing on “pick lines” used in conversation to show examples of properly sorted recycle bins and those not so proper.
FaceBook Update:  The Likes jumped up to 786.  Nancy continues to do a great job updating the page.  She noted that the page gets great responses to posted photos and seeks more from members.  She will continue to create “Events” to post, including the e-waste Saturdays that run at least through June 2014.

Other Business:  Julie put the job description for committee members on the back of the printed agenda.  She suggests we ask people if they are interested in volunteering with the committee and its events.
