Meeting minutes for 9/26/17

Karen opened the meeting at 7:01pm.
The minutes of the 9/19 meeting were approved.
Karen read an e-mail from Chris. He felt JWA should not be interviewed.
Larry mentioned his visit to the Sturbridge town hall and North Brookfield library, projects listed in the submitted proposals as references.
The committee reviewed their assessment of the 5 firms using the matrix. We compared our scoring and agreed to reduce the number of proposals to 3 for the interviews. After considerable discussion a motion was made and approved to eliminate Johnson Roberts.
There were a number of errors noted in the boilerplate presentation of Dore & Whittier and the committee voted to eliminate their proposal also. This left us with 3 firms to interview; Gorman Richardson Lewis Architects, Jones Whitsett Architects and HKT Architects.
The committee will ask Nina to schedule interviews with these firms on October 10 starting at 5:30 pm.
We discussed the meeting for next week and agreed we would review the 3 proposals with a view towards additional questions we have for each firm.
There followed extended discussion which included questions of town finances and additional sources of funds and raising public awareness. The committee felt it was very important at town meeting to support a course of action based on recommendations from the consultant. We need to keep the process moving.
The next meeting of the committee will be on Oct. 3, 7pm at the annex. The meeting was adjourned at 8:39 pm.
