Meeting – Monday – May 21, 2012
Town Hall Annex
Minutes
June 4, 2012

Present: Lou Trostel, Dave Milton, Lynne Grettum, Paul Constatino and Bruce Rollins.
Also present were visitors from the Historical Commission: Alex Fiandaca, Joe Lee and Mike Splaine

The meeting was convened at about 7:11 PM in the Annex

The minutes from the April meeting were approved.

Meetinghouse Cemetery Review
We had planned to meet at 7 pm with the Historical Commission at Meetinghouse Cemetery to review their findings of gravestone fragments during the work of gravestone restoration and then move to the Annex for the balance of our meeting.  However, at 7 it was raining so we agreed to move to the Annex for our meeting immediately.

Alex described their system of categorizing the fragments discovered during their work on 73 monuments. The fragments are grouped as a – worth keeping and b – not identifiable. They currently are laid out on the turf slopes of the vaults at Meetinghouse. However, over time they tend to “sink into the ground” and get lost in the grass so this is not a good permanent storage solution. A number of possible storage solutions were discussed. One suggestion was to collect the b group in a “dry well” and the a group laid out flat on a graveled base. Location of the storage area was discussed. One suggestion was in the unused vaults (which are now closed). Bruce agreed to get an estimate on opening the vaults to make them available.

Susan inquired about the protocol we should establish for similar discoveries in our other cemeteries.

Preparations for Memorial Day
Bruce said Woodlawn Cemetery will be properly mowed for the Memorial Day ceremonies. The other cemeteries will not be as well mowed etc. It has been a good grass growing spring that Bruce is working hard to keep up with.

Glockner Lots
There has been a discussion with Mrs. Glockner about what lots they purchased in the past. She feels in one area there should be spaces for 3 burials of which they wish to use the center space. Bruce is not sure there is that much space in their lots.

Burials
There are 2 full burials coming up in this week before Memorial Day. This makes it more difficult for Bruce to get the other grounds in shape with the time he must take with these burials.




Rules
The current rule that we should receive at least a 3 day notice of upcoming burials from the funeral directors needs to be re-emphasized with them.
In addition, Bruce would like to see a rule indicating there should be no burials scheduled for the week before Memorial Day.

Lou suggested we email an edition of our current rules to all the local funeral directors to re-emphasize these rules that are on our books. The commission agreed to discuss this further at our next meeting.

Lynn has emailed Lou the rules and regs she has. We agreed these should be emailed to all the members of the commission.

Succession Planning
We need to develop a replacement person to take over at some point in the future for Bruce.

Annual Review
Bruce noted he has not yet had his annual job review.

South Cemetery Landscaping
Lynn, John Lebeaux and Bruce will continue their work on the landscaping efforts at South Cemetery.

Next Meeting
Since we got rained out in our meeting at Meetinghouse Cemetery this time, we agreed we would try again at our next meeting in June 18 at 7 pm and then continue our regular meeting in the Annex,

The meeting was adjourned at 8:47 pm.
