LYMES’ SENIOR CENTER
BOARD OF DIRECTORS MEETING
SEPTEMBER 16, 2013
PRESENT: Sue Campbell, Ruth Young, Bob Pierson, Ann Griffith, Diane Blackwell, Doris Johnson, Don Tapper, Gary Weed, Stephanie Lyon
ABSENT:   Diane Seckla, Doris Rand, Dot McAndrew, Mary Miles

The meeting was called to order at 2:00 pm by Chairperson, Sue Campbell. Sue presented Ruth Young and Mary Miles with a mum plant for all their years of service on the Board of Directors.
SECRETARY REPORT (Judy Dutton) A motion was made and seconded to accept the secretary report as presented.
TREASURER REPORT: (Bob Pierson) Bob handed out copies of June, July, August and September report and gave a verbal report.  A motion was made and seconded to accept the report as presented and placed on file for audit. Following Bob’s report he had some items he wanted to discuss: (1) Bob and Diane Blackwell will be attending a 501C3 non-profit meeting. It costs $25.00 per person to attend this meeting. A motion was made and seconded for the board to pay for them to attend this meeting.  (2) He also said that people who attend different meeting are reimbursed for mileage. A motion was made and seconded to pay 45 cents per mile for mileage for anyone attending a board function.  (3) Bob, Diane and Sue will be meeting with 1st Selectwoman, Bonnie Reemsnyder about moving forward with the 501C3. We can’t get any grants until we have this in place. Guest Janet Sturges contributed to this discussion and if requested, her comments are available in detail from this meetings recording on file in the Records Room at the Senior Center. (4) A motion was made and seconded to raise the Recording Secretary fee to $50.00 per meeting and $17.00 per hour for transcribing the minutes. (5) The stove in the kitchen is still not working properly after several attempts to repair it. It has already been approved by the Board of Finance to purchase a new stove. Lyme needs to contribute $15,000 as their 25%.  The stove will cost approximately $6,000.00.  A motion was made and seconded to purchase the stove from Restaurant Supply Co. located in town.  The Board will meet with Bonnie Reemsnyder regarding this and then will meet with 1st Selecman Ralph Eno from Lyme before proceeding any further. (6) FOR CONSIDERATION: Purchasing two flat screen TV’S for Wii Bowling to be placed on the wall: Purchase 2 new tablets to be available for anyone to use: Don and Bob will look into getting bids for an automatic front door opener that are made of steel. There is $5,000.00 in the budget already for this but it will probably cost more than that. A question came up should the town or the board pay for this. A discussion will follow at the next board meeting. A letter was read from back in 1999 from a former member who is now deceased stating that she donated $5000.00 to go towards new computers. This had not been done so a motion was made and seconded to purchase a reconditioned IPad tablet that can be used to take pictures and can used to put in our newsletter. The IPad should cost around $1,500.00. We decided on an IPad because we already have two computers.   NOTE: There will be follow-up at the next board meeting regarding a projector unit.
COMMUNICATIONS: Sue Campbell read an e-mail from Lyme 1st Selectman that was sent to all board members regarding a statement/discussion from the June 2013 meeting/minutes. This is available in detail from this meetings recording which is on file in the Records Room at the Senior Center.  Discussion regarding cleaning fee for using the building: a motion was made and seconded to charge any organization using the building including non-profit organizations as follows: If food is used they should pay a $200.00 cleaning fee and pay $50.00 if using the kitchen. The organization will be responsible for the $200.00 cleaning fee when the contract is signed to use the building.
SPECIAL EVENTS: (Doris Johnson) Doris thanked everyone that helped during the summer concerts from setting up, scooping ice cream and cleaning up following the concerts. Doris said that she has put in a request to the Coast Guard for next year’s concerts with the hope of obtaining the Swing or the Jazz Group. The Board thanked Doris for all her hard work in getting these concerts organized.
DIRECTORS REPORT: (Stephanie Lyon) >the floor in the big exercise room has been replaced. >a donation has been received to have horseshoe pits. >the Lions Club has cleaned up the Bocce Courts with the hopes of using them in the future possibly on weekends. >new programs such as exercise classes in the evenings, computer classes & yoga classes. >there will be a Veteran’s Lunch on October 1st which is free to all Veterans.  Stephanie has gotten sponsors to supply the food for this special day. >Senior Safety Programs are in progress for the upcoming months.
PROPERTY: (Don Tapper/Gary Weed) >ceiling in the kitchen has been replaced. >water checked and inspected for safety. >fire extinguishers inspected. >fire alarms and smoke detectors tested. >air conditioner serviced by Benedetto. There is an extra compressor but not sure where it is. It needs to be located. >carpets and windows have been cleaned. Don and Gary have obtained 3 quotes for painting the outside of the building. >an extra phone line has been added for the alarm system.>the refrigerator in the kitchen has been repaired. It was brought up that we need to try and locate the missing keys to the center and get them back.   If someone needs to get a key to the building they can ask a week ahead of time, use the key and return it to the lock box when they leave. A motion was made and seconded to have the director try and obtain the missing keys.
POLICY: (Diane Blackwell) The Constitution and By-Laws have been approved and signed by Bonnie Reemsnyder, Ralph Eno and Ruth Young.  The Policy and Procedures are being worked on in conjunction with Town Hall and are on file there.
FINANCE: (Bob Pierson/Gary Weed/Doris Rand) None
PUBLICITY: (Stephanie Lyon/Diane Blackwell/Sue Campbell) New programs are in place and it appears that more people are coming to the center. Our Newsletter is getting a very positive review and really stands out. Ruth Roach is adding new items to the website.  
OLD BUSINESS: NONE
NEW BUSINESS: Our new director, Stephanie Lyon was thanked for all her hard work and time she is putting in to get the Senior Center moving in a new and more positive direction.
A motion was made and seconded to adjourn at 3:10 pm.
