Meeting Minutes
Thursday, November 2, 2017


Present:  Don Bugbee (Director), Bob Dunn (Chairman), John Flower (Vice-Chairman), Mary Ellen Garbarino, Tim Gavin, Missy Garvin, Nigel Logan, Glynn McAraw

Absent:

Guests:  NONE


1.  CALL TO ORDER
Bob Dunn called the meeting to order at 7:00 PM.


2.  APPROVAL OF MINUTES – October 5, 2017
Glynn McAraw moved to accept the minutes of Regular Meeting October 5, 2017 and Tim Gavin seconded the motion.  SO VOTED.  Nigel Logan, Missy Garvin and John Flower abstained as they were absent from the October 5th meeting.


3.  DIRECTOR’S REPORT – Don Bugbee
PROGRAMS

Youth Soccer
Youth Soccer will wrap up this coming Saturday November 4.

Youth Basketball
Basketball sign-ups have started and will run November 1 – December 6. A Tentative meeting for the coaches is scheduled for December 9.  The season will run from January through the first week in March.

Yoga
Yoga is in its second session which will run through December 6.  Session three, four and five will begin running in January, and go through the middle of May 2018.

Adult Basketball
Wednesday night basketball will run through June 6, 2018.
Sunday Basketball will start on November 5 and will run to April 1, 2018.

FACILITIES
The buildings are closed up and the water is shut off at White Sand Beach and Hains Park.  Cross Lane Park will be closed up next week and Town Woods Park will be closed up shortly after that depending on the last of the games.

There was an update from Don on the storm’s impact on the beach areas.

Don stated that the Parks and Recreation budget is due by December 1.  Bob Dunn will take care of the Parks and Recreation Commission Budget when he returns from vacation.  Bob reported that he had sent in the dates for next year’s meetings to the Town Clerk.  


4.  OLD BUSINESS
a. Boathouse Update
Bob Dunn reported that there has been no meeting since this Commission’s last meeting.  They will have a meeting next Thursday.  The following items will be discussed: Approval of Scope Construction requisitions for 100% completion and retainage release, discussion of options for improvement of the existing well, and a discussion of options to reduce water running down the new driveway which ends up on the basketball court.  Commission members also stated that there is water running off Town’s Woods Road onto the property. There was a discussion on these items and ways to address them.  

b. Hains Park Improvements
Bob Dunn reported that he has received no feedback from his letter to Bonnie Reemsnyder dated September 21, which was included in last month’s minutes regarding the Hains Park Improvement Committee.  No meeting has been scheduled yet.

c. Cross Lane Playground update, funding, location, etc.
Missy Garvin gave an update on the Playground Project.  The trees have been pruned / removed and Al Bond will begin the site work this week.  The playground equipment has been ordered and will be placed as soon as possible.  $150,000 is in the Town budget for the project with an additional $50,000 available, that was received through fundraising efforts.  


5.  NEW BUSINESS
Bob Dunn reported that Mary Ellen Garbarino and John Flower’s terms on this Commission will expire at the end of this year.  Both were aware of this as they had received letters from the Selectmen’s Office on this matter.

7. ADJOURNMENT
Missy Garvin moved, and Nigel Logan seconded, to adjourn the meeting at 7:46 PM.  
SO VOTED.  

The next meeting of this Commission will be on December 7, 2017 at 7:00 PM.
