Meeting Minutes
Thursday, September 7, 2017
Present: Don Bugbee (Director), Bob Dunn (Chairman), John Flower (Vice-Chairman),

Absent: Tim Gavin, Nigel Logan

1. CALL TO ORDER
Bob Dunn called the meeting to order at 7:00 PM.
2. APPROVAL OF MINUTES – August 3, 2017
Glynn McAraw moved to accept the minutes of Regular Meeting August 3, 2017 and John Flower seconded the motion. SO VOTED.
3. DIRECTOR’S REPORT – Don Bugbee
PROGRAMS
Don Bugbee reported that the summer programs are concluded, and that the summer staff has been dismissed.
Youth Soccer
Soccer sign-ups are in progress with the season beginning on Saturday, September 16 running through November 4.
Yoga
There are five six-week sessions beginning next week and running through May 2018.
Adult Basketball
Basketball will start September 13 on Wednesdays and will run through June 6, 2018.
Sunday Basketball will hopefully start on November 5 and will run to April 1, 2018.
Fall Baseball / Softball
Games will be starting soon.
FACILITIES
Hains Park and White Sand Beach
Swim lines have been pulled, the bathrooms will remain open during the day until Don feels it is time to close them due to the weather.
Town Woods Park
Town Woods Park is in great shape. Soccer Club is there most every day. Lacrosse Club has used the field for random practices. Fall baseball and Softball will start soon, but Don does not have their schedule yet. The Soccer Club purchased goal weights and wheel kits for all the main goals at the park. The Commission expressed their appreciation for this generous donation.
Cross Lane Park
Cross Lane Park is fine with Fall Baseball and Softball starting soon. The basketball court is in good shape and the tennis courts look good with crack repairs / resurfacing to be done next Spring. It remains a busy place.
4. OLD BUSINESS
a. Boathouse Update
John Flower reported that an Occupancy Permit was finally granted. Don Bugbee reported that at the last Boathouse Committee meeting they talked about drainage issues with a future plan to fix this. They voted to have this work done. The basketball court is complete and looks great. There are a few minor issues on their punch list.
b. Hains Park Improvements
Last month, Parks and Rec had decided that several members of Parks and Rec Commission would serve on the Committee to build a new bathroom and hopefully a pavilion. Don Bugbee, Bob Dunn, John Flower, Nigel Logan have agreed to serve. Todd Machnik has agreed to serve as an ex-officio member / consultant, and a member of the Finance Board will be asked to join. There was a discussion.
5. NEW BUSINESS
a. Cross Lane Playground update, funding, location, etc.
Missy Garvin reported on the updates to the plan for the new playground at Cross Lane Park. There has been a location re-design because of ground water issues. The tree warden will come this week as several trees in the area were deemed unsafe and will be removed soon. In October, Public Works will prepare the area after the trees are removed, volunteers will dig the holes for the new equipment, and the equipment will be installed shortly after that. The original Playground Committee is still doing fundraising. A new committee of five people is being formed to oversee the process. Most of the funds for the playground will come from Parks and Rec Budget. There is presently $160,000 set aside for this expense with additional funding coming from the Playground Committee’s fundraising efforts.
The Commission thanked Missy Garvin and the Committee for doing such a fine job of moving this along.
b. High School Team / High School fields vs TWP fields
There was no discussion as this agenda item was taken care of last month.

7. ADJOURNMENT
Mary Ellen Garbarino moved, and Missy Garvin seconded, to adjourn the meeting at 7:45 PM. SO VOTED.
The next meeting of this Commission will be on October 5, 2017 at 7:00 PM.
