INVITATION TO BID
REPAIR/REPLACEMENT OF
HEATING SYSTEM BOILER
TOWH HALL, 302 MAIN ST., OLD SAYBROOK, CT
The Town of Old Saybrook requests responsible mechanical contractors to supply bids for the repair or replacement of the natural gas fired boiler servicing the Town Hall at 302 Main Street, Old Saybrook, CT 06475. The existing boiler is experiencing leaks and is currently out of service. The existing boiler was installed in 2004 as part of a major renovation to the facility.
The Town will receive bids in sealed packages clearly marked “Town Hall Boiler Repair/Replacement” until 3 PM on September 29, 2015 at which time the bids will be opened and reviewed.
The Town of Old Saybrook reserves the right to reject any or all bids.
Instructions to Bidders
Bids are requested that detail four options for the Town. The existing natural gas fired boiler is experiencing leaks in what appears to be the rearmost two sections of the boiler. This unit is the main source of comfort heating for the facility. Bidders are requested to provide bids for each option.
Option 1 – Repair the existing Burnham Model #V907A-WG unit with a gross output of 959,000 BTU/HR and a net water output of 834,000 BTU/HR. Connect to the existing burner and control system. Provide and install all necessary accessories for safe and proper operation of the repaired unit. Test and fire the repaired unit for satisfactory performance.
Option 2 – Repair the existing boiler as identified above and provide recommendations and pricing for updated burner, control system and/or boiler trim modifications. Provide brief description of proposed updates to the burner, control system, and/or boiler trim with rationale for proposed updates (i.e., increased efficiency, compatibility with control system, etc). Provide and install all necessary accessories for safe and proper operation of the repaired unit. Test and fire the repaired unit for satisfactory performance.
Option 3 – Remove and replace the existing boiler with a natural gas fired unit appropriately sized and complete with all required accessories. Assure compatibility with existing burner, control system, and boiler trim, as necessary for safe and efficient operation. Provide and install all necessary accessories for safe and proper operation of the repaired unit. Test and fire the new unit for satisfactory performance.
Option 4 – Remove and replace the existing boiler as identified in Option 3 above. Provide recommendations and pricing for updated burner, control system and/or boiler trim modifications. Provide brief description of proposed updates to the burner, control system, and/or boiler trim with rationale for proposed updates (i.e., increased efficiency, compatibility with control system, etc). Provide and install all necessary accessories for safe and proper operation of the repaired unit. Test and fire the new unit for satisfactory performance
GENERAL CONDITIONS
The location of the work is the Town Hall of Old Saybrook, 302 Main Street, Old Saybrook, CT 06475. The boiler is located in a separate mechanical room in the lower level of Town Hall. Direct access to the mechanical room is available from the exterior of the building.
As this boiler is the main source of domestic heat for the facility, the repaired/new boiler is to be in service on or about October 18, 2015. This is an essential condition.
The successful contractor will be responsible for the removal and proper disposal of any and all material removed from the site. Removed material is to be the property of the successful contractor. The successful contractor will be responsible for maintaining a safe and clean work place.
Arrangements for the performance of work outside of the normal business hours of the Town Hall (M-F, 8:30 am to 4:30 pm) can be made through the Office of the First Selectman.
The successful contractor will be required to provide evidence of appropriate trade licensing, worker’s compensation insurance, and liability insurance. All work is required to comply with all applicable Federal and State Codes and regulations. The successful bidder will be required to apply for a building permit for this work (building permit application fee waived).
WARRANTY
The successful bidder will be required to provide a one-year warranty on any repairs to the existing boiler and/or will be required to provide the manufacturer’s warranty on any new components.
The successful bidder will be required to provide operational training to one or more designated Town Hall staff or their designee.
