Parks and Recreation Meeting Minutes of
Monday, April 7, 2014
Town Hall, Room 5 at 7pm

Attendance:

Acceptance of Minutes:  3/3/14 & 3/17/14

New Business:
  • Turf Committee-Status
  • Town Clerks office is asking for a status regarding the Turf Committee.  They stated that in order to disband the committee we need to state a charge and transfer all duties over to Parks & Recreation.  Rita will find the mission statement of the committee and the effective date they stopped functioning and that will be the effective date that duties transferred to Parks & Recreation.  Maureen sated that the last date of action for that committee was 11/16/09.  She will put together a statement and forward for the committees review.
Old Business
  • Wine & food
  • Maureen collected invoice from One Stop Liquors for Wine & Food Supplies.  Mike approved the payment of the invoice. Maureen is still waiting for the invoice from Hillview Country Club.
Maureen distributed an analysis from multiple years for comparison.

  • The committee would like to come up with new ideas to freshen up the event. Maybe use the ticket stubs to enter into a door prize.  The liquor table was a great success.  A raffle table with balloons.  The amount of tickets sold was great.  The live auction was great as well.
  • Parks Director Update (MT)
  • Gale Associates: Marty Rita and Lynne met with Gale regarding feasibility study.  That is going to start researching.  Going to meet around 4/15/14 to see what we are looking for.
  • Safety meeting at Turf Field:  Got a price of $16600 for installing permanent netting around track.  We are going to use $6000 of banner money and Sub Athletic will pay for rest.  They started installing today.
  • Fields: Still trying to open all the fields.  Has been difficult due to the weather.  Maguire, Little School and Hood are still not open.
  • Tennis Courts: Marty will connect with Sergio to get the material to test for repairs of tennis courts.
  • Recreation Director Update(LC)
  • Spring summer Brochure: Working on the Spring/Summer Brochure and getting all programs up and running.  Working with MyRec.com to create a module that will be used for registering summerscape and kid connection.
  • Special Education Program: Special Education Challenger Baseball program trying to work with Reading Recreation and Emarc to get program running.  NRLL already has started a program similar.  Trying to get Reading to go through NRLL and merge programs.
  • Operation Director Update (MS)
  • MyRe.com: Program is working wonderful, 90% of registrations are now online.  It free up time in the office.  Sergio asked Maureen if we have received more people signing up on new system.  Maureen replied that they will not know until after summer sign-ups.
  • Concession at IRP: Concession at IRP is opening this coming weekend.
  • Wine & Food 2015: Maureen will book date with HCC for next year’s W&F social
  • LUC (RM):
  • Farmer’s Market: LUC to discuss Farmer’s market
  • Golf Tournament: Rita asked Maureen to forward her the numbers form the LUC golf Tournament.
  • CIT Updates (RM):
  • Organizational Chart: Rita distributed form to sign up for CIT meetings.
  • FONRPRC Updates (SS):
  • Jordan’s Journey: Received email from Jenna Clapp regarding honoring her infant son who passed due to a serious illness with an update/repair of street hockey rink at IRP and Maybe placing a name plaque.  Marty stated he would contact the family and follow up.
  • Walk of Fame: 5 bricks have been ordered and are scheduled for pick up on or after May 19th.
Other Business
  • AED in Parks: Rita wants to put the AED Machine in the park.  She will contact MRPA and see if they can give her any information how to do so safely.
  • Pickle Ball Area:  Rita was contacted by someone who plays Pickle ball and they were wondering if they could use a designated area for a Pickle ball league.  Lynne stated she had been contacted by someone similar a while ago and they said they needed a tennis court.  Cannot designated IRP Tennis Courts for pickle ball league as there are lessons that play there all the time.
  • Community Service opportunities: Billie suggested that if anyone is looking for community service opportunities they could use the help at the elderly housing.

  • Next Meeting: 4/21/14 is a holiday and Town Hall is closed move meeting to 4/23/14 Wednesday, Committee members only not staff.
