Parks and Recreation Meeting Minutes of
Monday, March 17, 2014
Town Hall, Room 5 at 7pm

New Business:
- Sheila updated everyone on the auction and distributed tickets to members to sell.
- Sheila updated everyone on sponsors. Committee asked that we have Maria contact past sponsors.
- Lynne updated everyone on the restaurants and assignments will be done on 3/17/14.
- Mike updated everyone on the wines and beers, same budget as last year. Dropped quantity to 15 cases but upped the quality of the products. One stop will be printing flyers again for products. Everything will be delivered on day of event. One stop is donating a wine basket on that day as well.
- Maureen and Marty met with Coca-Cola Rep. We can buy product and stock ourselves but we would have to store product. For 35% commission they will provide machines, stock machines, maintain machines, and provide coolers for inside concession stands. Coca-Cola will also give us a $500 sponsor donation. They will start with 3 machines at IRP and 1 at Turf. Machines will have debit card capabilities.

- Parks Director Update (MT)
- Weather: Marty is waiting for the snow to melt to get all the fields open.
- Track: asked to use Park St Park for Javelin practice. ok
- Recreation Director Update(LC)
- MRPA Conference: Lynne and Maria went to MRPA conference. It was very good and they received a lot of useful information.
- ½ Day programs: Ran several half day programs and all sold out and had waiting lists.
- Spring Dance: Spring dance was a little light on numbers attending but everyone had a wonderful time. Maureen, Lynne, Sheila and Maria all baked and donated baked goods for event.
- Recreation Center Floors: the floors are completed and they look wonderful! Ron asked if we can put a thank you on our website with pictures.

- Operation Director Update (MS)
- New Computer: Maureen was upgraded to a new computer and it is working much faster and efficient.
- Printers: Had an issue with large Printer (Felix) had to have Konika come and replace main board. Maureen is going to meeting with Konika on 3/20 to look into upgrading. After that Felix was fixed we had an issue with color (Oscar) printer. So when Maureen meets with Konika she is going to inquire about a dual printer.
- Permits: We are receiving a lot of permit requests.
- Feasibility study: Ken Tarr signed the agreement and sent it back. Billie inquired as to when we may hear from Gale Assoc. Marty will contact them as soon as snow clears.
- Farmer’s Market: Advertised in the paper
- Healthy Relationships seminar: Safe dating forums for the kids and parents. Well run program.
- Federal Grant Monies: Amy from Youth services went to DC for a Federal Grant seminar for a $125,000 grant. A criterion is to have 12 sectors of an organization involved and show a year of action. If awarded we would receive $125,000 every year for 5 to 10 years. Rita passed around organization chart to date for everyone to view. She will copy and forward.

- Wine & Food:
- Restaurant assignments: Lynne went over list; Pavarotti=Sergio picking up Ravioli, Joe Fish/Loft=Ron; China Cuisine=Lynne; Ginger Gourmet=Marty; Longhorn=Mike. Send email out to everyone with Maria’s phone number in case something comes up. Please call Restaurants the morning of event to check on pick up. Please bring a sharpie and label items on top lids of product and what restaurant. Food needs to be at HCC by 6pm.
- Volunteers: Volunteers are all set.
- Trays: Sergio is picking up 18 chafing trays.
- Wine/Beers: Everything is all set and they have the handouts done and everything will be delivered Friday.
- Liquor Table Raffle: asking everyone to donate one bottle of liquor for raffle. Sheila will set up a group email for everyone to hit “reply all” so we stay updated.
- Auction items: still coming in. has no sports tickets. Rita asked to be emailed to remind her about Patriot tickets.
- Phil Dardeno: Phil is looking for an area in town for another senior baseball field to be built. Marty and Rita have researched this subject a number of years ago and have forwarded their finding to Phil. Marty was on a subcommittee with Phil to look at all options. Phil did not agree with the results. Phil wants to go back to the sub-athletic committee with subject. Recreation Committee feels this is a Recreation issue. Committee wants to invite Phil to come to a meeting. Sergio suggested putting everything in writing and forward to Phil again. Marty stated that this has already been done.
