Minutes of Board of Directors Meeting

Members Present: Karen White, Leslie Polseno, Rosalie Newman, Maureen Birden, Leonard Penna (Newtown P.D.) Rick Child, David Moseman, Steve Meeker, Tom Murtha, Jesse Rosenschein, Ashley Mele, Sheilah Krasnickas

Members Not Present: Jim Solomon, Diane Savinelli, Don Ramsey, Elise Trock, Susan Giglio

  • Call to Order
  • The meeting was called to order at 6:32 by Tom Murtha
  • Roll Call
  • The roll of the Board of Directors was taken by signing in and a quorum was established.
  • Approval of June 2012 minutes
  • A motion made by Karen White to approve the minutes as written. The motion was seconded by Rick Child and passed unanimously.
  • Chairman’s Report
  • We got the deposit back. Start paying rent October 1, 2012. The new place is cost effective and the staff loves it.
Our next steps is to create a strategic plan (what we’ve accomplished, what we need to accomplish, a 3 year plan) Where we see ourselves in 3 years Susan Giglio, Don Ramsey, Steve Meeker, Karen White, will be in charge of creating this plan.
  • Southbury/Middletown asked us to bid to take over their services
  • We didn’t know how to submit a budget because we were short on information, no answers. We had no fair bid
  • If we could expand we would but it needs to be the right time
  • We are benefiting from Southbury and Middletown, we are getting business from them
  • Not something we felt we could per sue at this time
  • Rosalie wants the sign in front of 17 Church Hill taken down but we cant use it at our new place
  • Executive Director’s Report
  • Sheilah and Candace went to seminar this summer which was awful and we got our money back
  • We are currently going through paper to upload to the computer.
  • What currently we can use with COA
  • Expires February 2014
  • We welcome our two new staff members

  • Job descriptions change
Executive Director: no changes have been made from last year . ( reviewed by executive Committee)
Receptionist (PM):  added job bank tasks. 1. Maintaining agency mailing lists-both email and snail mail. 2. Maintain scrapbook with articles from newspaper.3.Enter stats and enter in database on all agency programs.
Student Assistant Counselor: Added Collect and report as requested by NYFS.
Clinical Director: No changes have been made from last year.
Primary Service Manager: No changes have been made from last year.
Bookkeeper: removed attends and actively participate in 60% of agency’s special events.
Human Resources Manager: added attends and actively participate in 60% of agency’s special events.
Medical Biller: No changes have been made.
Medical Director: removed attends and actively participants in the regularly scheduled clinical staff meetings. Also assist with staff development in consultation with the Clinical director.  Changed task to Review and signs off on clinical director’s records to Review and signs off on client records as needed.
Specialized Staff Therapist:   Added handling a cross-section of clients in accordance with the needs of the agency and the qualifications and expertise of the counselor/therapist. And Keeps informed of new developments in the Substance Abuse treatment field. Utilizes specialized knowledge to act as a resource for other NYFS therapists.
Staff Therapist (PT, Per-diem and FT) : no changes since last year.
Receptionist (AM): No changes since last year.

  • Approve changes in the job descriptions Steve Meeker made a motion and Rick Child seconded. It was passed unanimously
  • Gift works
  • Training program for donations and volunteers this Thursday, Candace and Eileen are going
  • TS4NP…not getting ahold of them, but once they get ahold they are great! We got a new server, and updated office for around $250
  • New evaluator – Nina very involved in Newtown Prevention
  • Newtown prevention council – drug free community grant for 5 years
  • PFS grant for 5 years
  • Trying to merge both, gives us more money and extends the grant period for Kaitlin for a little longer.
  • This is only being discussed about.
  • Town health care – 8-1 at Newtown Middle School
  • Holiday festival meeting October 3rd  at 6pm. The day of the Holiday Festival we plan to have a scavenger hunt, carolers, house tours, arts and crafts, ginger bread house contest.
  • Jesse Rosenschien volunteered to accept a check in Sandy Hook on October 5, 2012.
  • Treasures report
  • It has been 1 year since we hit the credit line
  • We have $100,000 in the bank now
  • Fundraising Committee
  • Road race: Over all it was a success. Last year we made less then $20,000. This year our net proceeds were $29,000. We budgeted $25,000. We had 565 people come. We lost a few sponsors but we have Kaitlin going to talk to the businesses to try to get our name in their budget for next year.
