Meeting Minutes

The Newtown Cultural Arts Commission (NCAC) held a meeting on Thursday, May 13, 2010 at 7:00 PM at the Newtown Municipal Center, 3 Primrose Street, Newtown, CT.

Members Present:  Martin Blanco, Emily Howard, Jennifer Johnston, Rob Kaiser, Donna Mangiafico, Donna Monteleone Randle, Jennifer Rogers, and Linda Watson
Members Absent:  None
Auxiliary Members Present:  None

Guests:  Barbara Gaines

Jennifer Johnston called the meeting to order at 7:10 PM.

The minutes of the April 8, 2010 meeting were approved as written.

Officer Reports:

Linda Watson tabled the financial report until Paypal reports could be reviewed.

Jennifer Rogers lead a discussion regarding the use of an integrated system for promoting events, marketing, ticket sales, reporting, etc.  The question was raised as to whether a member of the NCAC could design an adequate system versus using software from an established company.   Also discussed were the costs to the NCAC and its customers.  Members present agreed to create a subcommittee for an in-depth review.  Jennifer Johnston will schedule a meeting to take place in the coming weeks.

Programs and Events:

Martin Blanco reported that there were 122 advanced ticket sales, the highest number to date, for the May 22, 2010 Flagpole Radio Café.  He will continue to promote the event in the Newtown Bee and other area newspapers.

Martin Blanco was made aware of a problem with a power outage at the Edmond Town Hall at a recent concert.  He will check with the Board of Managers to be sure someone is present at the Flagpole Radio Café to handle any issues with the building during the performance.

Martin Blanco announced that he has been in touch with a potential donor for a grant to the NCAC for $500.

Members present shared topics to be discussed at future meetings:  Redefining advertising, designing a press kit, ticketing (season, discounted, etc.), recruiting auxiliary members were offered.

Donna Monteleone Randle provided an update on the We’ve Got Talent show.  She reported that calls and emails are coming in daily and a second audition date would have to be added.  She is currently seeking more senior citizens to audition and take part in the show.

The Labor Day Parade was discussed.  The theme this year is “On Stage in Newtown” to celebrate the 75th Anniversary of the Town Players.  Rob Kaiser will obtain advertising and registration information and report back to the NCAC.

There being no further business, the meeting was adjourned at 9:15 PM.

The next meeting will be held on Thursday, June 10, 2010, 7:00 PM at the Newtown Municipal Center, 3 Primrose Street, Newtown, CT.
