WORK MEETING

  • Call to Order, Roll Call Vote
Chairman McCarthy opened the meeting at 5:35pm.  In attendance were Chairman Trisha J. McCarthy, Selectman Raymond D. Thayer, Selectman Charles R. Melvin, Sr., Town Administrator Nancy J. Wrigley and Office Manager Mary B. Winglass.  Minutes of the meeting were transcribed and typed by Office Manager Winglass.

The Board reviewed information from surrounding town’s regarding their computer support and managed information technology services to include cost and contract requirements.  The Board finalized the wording on the specifications and decided to put out a RFP (Request for Proposal) for this service contract.  

COMPUTER SUPPORT AND MANAGED
INFORMATION TECHNOLOGY SERVICES
The Newton Board of Selectmen is requesting sealed bids for Computer Support and Managed Information Technology Services at the Newton Town Hall.  Bids must include all aspects of work as defined in the Request for Proposal.  A certificate of insurance must be included with bid showing proof of liability insurance and if applicable workmen’s’ compensation insurance.  References are required.  Sealed bids marked “IT Services” must be returned to the Selectmen’s Office, Newton Town Hall, PO Box 378, Newton, NH 03858 by Tuesday, March 5, 2013 by 4pm.  Bids will be opened by the Board of Selectmen at their public meeting held that evening at 7pm. Request For Proposal documents are available at Town Hall and on Newton’s Official Website at www.newton-nh.gov under News and Announcements.

The Board signed the Payroll Manifest for period ending 2/9/2013.

The Board discussed with Town Administrator Wrigley why the Bookkeeper/Payroll Administrator is being paid overtime when he was hired for 39 hours each week.  Wrigley responded that it has to do with the town report, closing out the year and the audit.  The Board explained that if the work cannot get done within the 30 hours budgeted for each week then the assistant needs to come in to help.  It is better to pay the backup Bookkeeper versus paying overtime each week.  Wrigley stated that she spoke with the Bookkeeper about the hours and now that the year-end is complete this should not be an issue.  The Board decided to have Chairman McCarthy speak with the Bookkeeper about the overtime and meeting with the Board in nonpublic session.

Chairman McCarthy adjourned the meeting at 7:55pm.
