MEETING MINUTES
Location:  Town Hall Main Meeting Room

Chairman Bob Faghan called the meeting to order at 7 PM.
Present were:  Bob Faghan, Steve St. Cyr, Christine Kuzmitski, Selectman Ex-Officio Matt Burrill, and Alternates Vanessa Burrill and Angela McVey, with Annie Collyer via phone.  In addition, guest Selectman Jim Doggett was present, as chaperone for the Senior Trip.

__________ made a motion to accept the minutes of August 1, 2016, seconded by ______________, and passed unanimously.

The Cog Railway Senior trip, originally reported by Town Hall as all sold out, has in fact all sold except one .  Selectman Doggett pointed out that there are 2-3 who have signed up who would require handicap facilities, and there are none on this trip.  Mrs. Kuzmitski will call them  to find out what their status will be, and then will give Mary Winglass, Office Manager an email to send out to the Recreation email list, and will also send to fellow residents at Sargent Woods, that there are some (1-4) tickets still available at $20 for resident Seniors or $478 for non-residents or non-seniors.
Town Beach.  The information about the potential replacement panels for the raft is not clear and not in writing.  Mr. St. Cyr will follow up and report back.  The Commission would like to obtain the free replacement panels in the next month or so, and will make a decision in the future as to whether the raft will be strong enough for safe use by residents.
5K Walk/Run and Fun Run.  Mrs. Burrill reported that it is now less than a month away.  She has arranged for a DJ- Jason Paradise of Plaistow - for $150, as approved by the Commission August 1, and for a free photographer, Michael Leary, who will obtain releases for use of photos. Mrs. Burrill has obtained three bids for t-shirts:  Rush Order Tee:  20 for $300 and 50 for $600; Jennifer Murphy at $20 each; and Stone Jetty Marketing and Design who will design and make 50 for $550.  She has chosen heather gray with navy blue lettering, front only.
Mr. St. Cyr made a motion, seconded by Mr. Faghan, to approve $550 for 50 tee-shirts from Stone Jetty Marketing and Design.  The motion passed unanimously.
It was agreed to extend the online sign up to August 23 for t-shirt size choices, and Ms. Collyer will update the events on FB.  Mrs. Burrill will work with the town graphic designer to make a flyer to put on cable as well as on FB, and will email to the Sanborn Regional School District Administration, with the notation that the event is not sponsored by the District on the bottom, for distribution through the individual schools.  She will also compose an email for Ms. Winglass to send out, and will have the town website updated with the extension to the 23rd for online registration with a chosen size for a free t-shirt.  Extra t-shirts will be ordered in L and XL, after the registration deadline passes.  Selectman Burrill suggested use of the town carriage as a logo on the tee-shirt.  Online registration is available until Sept 8.
Mrs. Burrill reported that the Bezansons will be doing the water stations.  Selectman Burrill made a motion, seconded by Mr. St. Cyr, to allocate up to $100 for water and snacks as needed.  The motion passed unanimously.
Medals and ribbons will be awarded as follows:  Overall, first, second and third for men and for women
Over 40-60, winner in men and in women
Over 60, winner in men and in women
12 and under, winner for boys and for girls
Fun Run, 1st,2nd and 3rd place, no sexual differentiations.
Selectman Burrill made a motion, seconded by Mrs. Kuzmitski, that we spend no more than $50 for medals and ribbons for the 5K Race.  The motion passed unanimously.
The timer will cost $500-600.  The group agreed that it was preferable to have a timer for the benefit of the runners, no matter how many are signed up.  Mr. Faghan made a motion, seconded by Mrs. Kuzmitski, that we spend up to $600 for a timer for the 5K Race.  The motion passed unanimously.
Mr. Faghan reported that Chief Jewett will put out cones and will notify the fire department so there is an ambulance at the scene.  The ambulance will follow up the end of the race as last year, so that we are sure all participants are back at the starting and finishing gate.  Chief Jewett wants the finish line to be up the driveway a bit, for safety.  Selectman Burrill noted that the loop goes into Merrimac, MA, so it is an interstate 5K Race.  He will obtain signs for 1 mile, 2 mile to put up.  The Fun Run is a half mile and will be in the field behind the police station.  Mrs. Burrill will contact Ms. Winglass to make sure it is mowed and work with Chief Jewett to lay out the Fun Run.
The Burrills will bring a pop-up, camp chairs and registration table.  Commission members will handle registrations.  Mr. Faghan made a motion, seconded by Mr. St. Cyr to supply  a handicap-accessible portapottie for $125 from Triangle.  The motion passed unanimously.  Mr. Faghan is arranging for a cone and ice vendor, but there will not be other vendors, since this is a morning event, with no follow-up fair.  Mrs. Burrill will have waivers and registration forms at the table for day-of registrations.  
Selectman Burrill will work with the approved requisitions to gain Board of Selectman approval.  Selectman Burrill made a motion, seconded by Mr. Faghan, that a special meeting be held on Tuesday, August 30 at 7 PM at Town Hall on the 5 K Race only.  Then motion passed unanimously.
Mr. St. Cyr made a motion, seconded by Selectman Burrill to adjourn.  Pass ing unanimously, Mre. Faghan adjourned the meeting at  8:23 PM.
