MEETING MINUTES
- Call to Order: 10:06 A.M.
- In Attendance: Lynne Camp, Chairperson; Kathy Meserve, Treasurer; Julie Lamere, Alternate; Terry Caswell, Director.
- Minutes from the Previous Meeting (8/12/15): Kathy motioned to accept the minutes as written. Julie seconded. Minutes accepted unanimously.
- Correspondence and Communications: Lynne opened a letter from Boston Asset Management, a wealth management company, advertising their services. We have no interest in utilizing their services at this time. Terry received a second notice from NHLTA regarding dues payment for one alternate. Kathy will look into her records to see if she has already paid that bill.
- Library Director’s Report: Terry explained that the Friends will be donating three portable folding tables to the library. The tables are on order now; then the Friends will donate the funds to the library to pay for them. We are pleased with the increased participation in the Summer Reading Program by patrons of all ages. Kathy motioned to accept the Library Director’s report as written. Julie seconded the motion. The motion carried unanimously.
- Treasurer’s Report: Kathy and Terry will contact the Newton Bookkeeper to request a payroll report for the period ending 8/22/2015. After review of the treasurer’s report, Lynne motioned to accept the Treasurer’s report as written. Julie seconded the motion, which passed unanimously.
- Unfinished Business:
- Newton Town Day: Terry emailed Annie Collyer to explain our proposed plans for our participation in Town Day. Those would include a picture board of library activities, library information, Friends information, raffles of books, games, or puzzles, sell T shirts. We would use a table, perhaps try to find a canopy to borrow, as there will not be any available at the site. Lynne, Julie and Terry plan to meet on that Saturday, October 3, at 12:15 PM at the library to organize materials and begin the set-up.
- Staffing Update: Per the Library Director’s report, Kara Hahn and Molly Breslin have been hired as Library Page/Floats and are beginning their orientation training.
- Building Maintenance Review: No further word on AED’s replacement of batteries. Terry says that she will attend a Safety Committee meeting later this month. A representative from Rugs, Rolls, and More will be coming to the library next week to assess our needs for carpet and provide an estimate. Terry will also consider carpet cleaning as the time approaches the holiday season (very busy time for library). Terry has also prepared a list of proposed maintenance projects, which is noted in her Library Director’s Report.
- New Business
- Open Alternate Trustee Positions: The Board announced the resignation of Dana Steiner Whitney as an alternate Trustee. We discussed the need for up to two additional alternate trustees. Suggestions for advertising included Facebook, the Newton town webpage, a flyer, a notice at Sargent Woods Community Center. We encourage potential candidates to attend a trustees meeting as an observer, to see if they are interested.
- Donation Acceptance Policy: The trustees discussed and made revisions to the Donation Acceptance Policy. At next month’s meeting, we will approve and sign the revised policy.
- Gold Circle Award Nomination: Jonathan G. VanderEls, the principal of Memorial Elementary School in Newton has notified Terry that she and Sue Mears have been nominated for Gold Circle Awards. More information to follow.
- Mail Delivery: Terry sent a letter to the Newton Postmaster requesting information about mail delivery to the library instead of to our post office box. She is waiting for a response. Several pieces of our mail have been delivered to the wrong address in recent weeks.
- Director’s Annual Evaluation: Lynne handed out the annual evaluation form for Terry. The trustees will return the completed evaluations at next month’s meeting.
- Acceptance of Donations: Lynne motioned to accept the donation of $9.60 from patrons. Kathy seconded the motion. Motion passed unanimously.
- Friends’ News: The Friends will be holding a Book and White Elephant Sale on Saturday, September 19, from 8:00 AM until 1:00 PM, at Estabrook’s Garage. Lynne offered to help whenever needed. We looked at a draft of a membership pamphlet that the Friends are working on and discussed suggestions for some changes/additions.
- Monthly Invoices Review and Initialing: Review and initialing was done at this meeting.
- Next Trustee Meeting: The next meeting will be on Wednesday, October 14, 2015 at 10:00 AM.
- Meeting adjourned at 11:50 AM.
