MEETING MINUTES
  • Call to Order: 9:00 A.M.
  • In Attendance: Lynne Camp, Chairperson; Kathy Meserve, Treasurer; Anne Banks, Secretary; Dana Whitney, Alternate; Terry Caswell, Director.
  • Minutes from the Previous Meeting (4/8/15): Kathy motioned to accept the minutes as written. Lynne seconded the motion. Minutes were accepted unanimously.
  • Correspondence and Communications: Terry received a letter inviting her and the Trustees to a Municipal Energy Efficiency program at town hall today at 10:00.
  • Library Director’s Report: Lynne moved to accept the Director’s report as written. Kathy seconded the motion, which passed unanimously.
  • Treasurer’s Report: Lynne moved to accept the Treasurer’s report as written. Anne seconded the motion. Motion passed unanimously. Kathy had received notice that the version of QuickBooks she is using to produce her reports will soon not be supported, and that she will need to order the new version if we want to have support and any free updates that come out. She is requesting $299.95 in funds to compensate her for ordering the new version. Trustees discussed and agreed it was important for the Treasurer to have the tools she needs to keep our finances in good order. Anne moved that we approve the expenditure of $299.95 for the latest version of QuickBooks. Lynne seconded the motion, which passed unanimously.
  • Unfinished Business:
  • Building Maintenance Review:
  • Terry has been looking again to address the carpeting issues on the second floor. So far all options have been cost prohibitive, but she will continue to search for ideas.   
  • Tony has started getting ready to work on the vinyl siding repairs and the work needed on the shed and the shed ramp. The siding damage from the snow plow should be worked on next week, and the shed and ramp in the following weeks.
  • The dehumidifier has been turned on. The air-conditioners should go in the windows ASAP – Terry has requested Tony to do so.
  • The Friends of the Library have ordered a glass top for our new conference table. It should be here in two weeks or so.
  • Staffing Update:
  • Terry has posted the part-time job at the desk and on the NH job line. She has had 3 responses so far.
  • Betty Standing will celebrate 40 years working at the library next month. A celebration in her honor will take place at the library on June 3rd from 6-8 PM
  • New Business:
  • Travel to NHLTA: Julie LaMere, Lynne, Anne, Dana, and Kathy will attend the NHLTA meeting in Concord on May 18, 2015. Julie and Kathy have offered to drive. We will meet at 7:00AM in the Gale Library parking lot.
  • Scholarships for NHLTA: Both applicants have received notice of their being granted the scholarship. Kathy suggested they bring the notification with them that day in case there is any question about it.
  • 2015 Mileage Reimbursement Rate: The town has set a new rate. Lynne motioned that the library Trustees and staff adopt the same reimbursement rate as the town effective today. Anne seconded the motion. The motion passed unanimously. The new reimbursement rate will be $.58 as of today, May 13, 2015.
  • Unattended Children Policy: We tabled discussion of any changes to this policy until next month. The current wording seems ambiguous to us, and Dana and Terry volunteered to research examples from other towns that have such a policy.
  • Unitil Municipal Energy Efficiency Program: Terry, Anne, and Kathy attended the meeting at town hall immediately after the end of the Trustees’ meeting today. Alison Keay of Resilient Buildings Group will view the town hall, fire station, and Gale Library to perform a preliminary energy inspection on each of the facilities. An energy audit would be performed at a later date if Alison feels it is warranted.
  • Dept. of Justice Trustee Training Workshops: This year they are being held the day after the NHLTA meeting, and will likely cover some of the same material that Terry Knowles will cover in some of her sessions. None of us will attend the Dept. of Justice training this year.
  • Acceptance of Donations: Patrons – April $1.70, Kristy LaCroix - $100.00. Anne moved that we accept donations of $1.70 from patrons and $100.00 from Kristy LaCroix. Kathy seconded the motion, which passed unanimously.
  • Friends’ News: The Friends will offer discounted York’s Wild Animal Kingdom tickets again this year. The glass table top they ordered will be coming in about 2 weeks. The Friends will also be holding a book sale on June 13th at Estabrook’s Garage. Ideas are being considered for some kind of memorial on the Gale Library grounds in Lisa Fortin’s memory. Lastly, Terry has been working on a brochure for them, in the hopes the brochure will attract new members.
  • Monthly Invoice Review and Initialing: Invoices were reviewed and initialed at the meeting.
