MEETING MINUTES
  • Call to Order: 10:05 A.M.
  • In Attendance: Marilyn Landry, Chairperson; Anne Banks, secretary; Lynne Camp, alternate; Sally Woodman, alternate; Terry Caswell, Director.
  • Minutes from the Previous Meeting (8/13/2014): Marilyn motioned to accept the minutes as written. Lynne seconded. Minutes accepted unanimously.
  • Correspondence and Communications: Terry received notice of the 2014 schedule for Budget Meetings. The Library is scheduled for November 18th at 6:00 pm. These meetings normally take place in Mary Winglass’s office. Also, the bank statement is in. As far as out-going correspondence, Terry has written a note to Town Hall commending Tony Romanoski for his excellent work since becoming our maintenance person.
  • Library Director’s Report: Anne motioned to accept the Director’s report as written. Lynne seconded the motion. The motion carried unanimously.
  • Treasurer’s report: Both the Town Hall percentage of wages spent and the treasurer’s budget report on percentage of our budgeted monies spent show we are on track with our spending for the year. Marilyn motioned to accept the Treasurer’s report as written. Lynne seconded the motion, which passed unanimously.
Unfinished Business:
  • Building Maintenance Update: Terry had the sump-pump maintenance performed by Northeast Basement Systems. It seems in good working order. Town Hall will pay the bill, and starting next year we will include the maintenance cost within the town’s projected expense summarization. Terry is also going to get 3 new quotes for a new furnace as requested by Town Hall.
  • Library Card Policy Review and Signage: The policy as previously revised was reviewed and signed by all present.
  • Newton Municipal Complex Committee: The architect for the new Durham and Newington libraries, LaVallee, was present at the last regional meeting and gave his card to Terry. He will be willing to speak to us and give us ideas for our own project if we get further along in the process.
New Business:
  • Newton Town Day: Matt Burrill would like the library to have a presence at Memorial School on Town Day, September 20. Joe Simone has offered to donate a basket to be raffled off, with proceeds going to the library. Marnie Butland of the Friends group has offered to sell raffle tickets for us for a few hours that day. Lynne Camp will help her.
  • Director’s Annual Evaluation: Copies of the Director’s evaluation form were given to the Trustees. The forms are to be filled out and brought back at the next meeting in October.
  • 2015/2016 Cleaning Contract. Design Tech Group was given another 2-year contract by the Town.
  • Interlibrary Loan Policy Review: The wording in the policy was revised to make it clearer and to reflect how the policy is currently being enforced. Terry will revise the copy and send it out to the Trustees to review prior to our next meeting. We will plan to accept and sign the policy at next month’s meeting.
  • First Aid Training at Town Hall: On August 27th, Terry, Sue, and Lauri attended a First Aid Training class at Town Hall, for which they will receive a certification. On another note, the library personnel who took the CPR/AED class have received the certificates for that class.
  • Acceptance of Donations – Patrons - $3.25: Lynne motioned to accept the donation, Anne seconded the motion. Motion passed unanimously.
  • Friends’ News: The Friends are planning a Halloween Party at the library on the day of Trick or Treat. They will also fund some chrysanthemums for the front porch. Terry is planning a tea party for the Friends for Oct 21 at 1:30, in honor of National Friends of the Library Week.
  • Monthly invoice Review and Initialing: Review and initialing was done at this meeting.
  • Next Trustee Meeting: The next meeting will be on Wednesday, October 8, 2014 at 10:00 AM.
  • Meeting adjourned at 11:00 AM. The Trustees then went into nonpublic session.
