MEETING MINUTES
- Call to Order: 10:00am
- In Attendance: Marilyn Landry: Chairperson, Kathy Meserve: Treasurer, Diane Morin: Secretary, Terry Caswell: Director, Sally Woodman, Anne Banks, Lynne Camp: Alternates
- Secretary’s Report: Kathy motioned to accept the minutes as written for the April 10, 2013 meeting. Marilyn seconded and the motion passed unanimously.
- Director’s Report: Marilyn motioned to accept the Director’s Report as written for the month of April. Kathy seconded and the motion passed unanimously.
- Treasurer’s Report: Diane motioned to accept the Treasurer’s Report as written for the month of April. Marilyn seconded and the motion passed unanimously.
- Communication and Correspondence: Terry reviewed the Boston College Western Observatory information with the Trustees. The Gale library does not have the space or staff to take part in this program. Terry will post the information on the message board in the library for all to patrons to view.
- Unfinished Business :
- Community Posting Board Policy: The Trustees reviewed and signed the policy.
- Transparent Language Online Polling Review: Terry went over the polling results for this program and the interest was not there from patrons to be able to learn a foreign language online. The cost of the program would have been $700. The Trustees agreed with Terry and the program will not be pursued.
- Impact Fees Status: Terry read an email she received from the Town Administrator, Nancy Wrigley, concerning the possibility of receiving impact fees when new homes are built in the town. Due to the initial expense of filing the proper paper work and the fact that the Gale library is not a new facility, the matter will not be pursued.
- Fire Exit Stairway Project Status: The project has been completed and has passed town inspection.
- Investment Policy Review: The current policy looks good. An electronic copy needs to be located so that an addendum can be added to include this year’s review. The Trustees will then sign the updated policy.
- NHLTA Conference Carpooling: Diane will ask her friend if she can borrow her van.
- Computer Equipment Disposal: It was determined that the used equipment is not worth selling and will be properly disposed of.
- Terry brought several copies from Follett containing hardware quotes for corded and wireless handheld scanners and printers. After some discussion it was decided that only 1 scanner and 1 printer would be needed for use with the new computer using Windows 8. There was an issue with the wording comparing several scanners that would need clarification before the Trustees could choose the best choice. This will be revisited in our June meeting.
- The Big Read: NH Reads “My Antonia” grant was not accepted at the state level therefore the Gale Library will not be able to use this program.
- Gift to Don Watson: Terry made a request to offer a gift of $50.00 to be given to Don Watson, the singer who entertained at the library. He also gave many interesting facts about New Hampshire.
Marilyn made a motion to gift Don Watson $50.00. Kathy seconded and the motion passed unanimously.
- Library Closing: Terry made a request to have the library closed on Saturday, July 6, 2013.
Marilyn made a motion to close the Gale Library on July6, 2013. Diane seconded and the motion passed unanimously.
- Terry was asked if the library would like to have an interdepartmental liaison with the BOS. She replied that both the Trustees and herself are in frequent contact with the Town Hall and see no reason to have one at this time. She thanked them for asking us.
- Anne gave a detailed review of the Trustee Orientation workshop she attended. One of the points the speaker noted was that hiring a new Director was a very difficult job. The Trustees all agreed that we are so lucky to have such a quality director. We hope the town will vote to make her a full time director next year.
- Acceptance of Donations:
Marilyn made a motion to accept the patron’s donation of $50.35. Diane seconded and it passed unanimously.
- Friend’s News: Terry reported that the Friends made over $500.00 at their recent Yard Sale. It took a lot of effort on the Friends part. Terry asked Len to help get things ready for the Friends to plant flowers. The Friends of the Library will be holding a book sale on Saturday, June 8, 2013 from 8:00am to 2:00 pm.
- Marilyn said that she thought it was time for a new table. The one in the library at the present time only seats 6 people. There are often times when more room is needed. All the Trustees, as well as the Alternates, agreed that they would search for a table, 3 feet by 5 feet, with at least one leaf, two being ideal.
- Terry reminded everyone that on May 29, 2012, “Tablet 101” will be presented by Bobbi Slossar here at the library.
- KBA Grant check was mistakenly sent to the Newton PD. A new check will be cut from the Town of Newton to the Gale library.
- Joe Morrison of the JM Protection service will be doing his annual fire and safety check up here at the library soon.
