GALE LIBRARY TRUSTEES MEETING MINUTES

CALL TO ORDER:                  9:09 am
ROLL CALL:                              Sally Woodman, Carol Szot, Kathy Meserve, Terry Caswell, Marilyn Landry
SECRETARY’S REPORT: After a motion was made and seconded, the Trustees voted to accept the minutes from the February 16, 2012 and February 24, 2012 Trustees meetings. Carol Szot abstained from both votes, since she was absent from both meetings.
CORRESPONDENCE AND COMMUNICATION: Those present reviewed the mailing from the NHLTA Spring Conference, filled out the registration form, and indicated which sessions they were interested in. We reviewed a letter from Boston College regarding a proposed joint seismology project for the Gale Library and the Weston Observatory. After reading the literature, the Trustees decided to table the project.
CHANGING OF THE TRUSTEE POSITIONS:  Marilyn Landry has been elected to the Board of Trustees. After discussion, it was decided that Marilyn Landry would become the Chairperson of the Board; Carol Szot would become the Secretary of the Board; Kathy Meserve would become the Treasurer of the Board. The Board nominated Sally Woodman to become the Alternate Trustee. Marilyn will send a letter to the Board of Selectmen requesting Sally’s appointment.
TREASURER’S REPORT: After a motion was made and seconded, the Trustees voted to accept the Treasurer’s monthly report. After a motion was made and seconded, the Trustees voted to accept $4.08 in anonymous patron donations. After a motion was made and seconded, the Trustees voted to accept a donation of $25.00 from Mr.& Mrs. R. Estabrook. This is to be used for books, and is in memory of Mrs. Virginia Bartlett.
LIBRARY DIRECTOR’S REPORT:  After discussion, the Trustees voted to accept the Library director’s report.
UNFINISHED BUSINESS:
  • The Trustees signed the Gale Library Social Networking Software Policy. It and the Gale Library Staff Social Networking Policy will be placed in the policy binder. The Gale Library Personnel Policy was reviewed. The Trustees determined that no revisions were needed at this time.
  • Terry is awaiting Michael Cote to perform several maintenance jobs. Last week Terry contacted the town road agent and asked his assistance in removing a tree limb that is touching the library roof. She is awaiting his evaluation of the situation.
  • After reviewing the list of requests from the town auditor, it was determined that the Trustees have submitted all information requested. We await the auditor’s report.
NEW BUSINESS:
  • The Trustees reviewed the results of yesterday’s town election. The warrant articles for a full-time director and for a ductless air-conditioning system for the second floor did not pass. The town budget did not pass and thus, will go to a default budget. Next month the Trustees will revisit the library budget for 2012.
  • The Trustees reviewed the Gale Library Weather Closing Policy. They renamed it the Gale Library Closing Policy and made other revisions. After a motion was made and seconded, it was voted to accept the newly revised Closing Policy, effective immediately. It will be signed next month.
  • Terry reviewed the Best Practices for NH library volunteers from the NH State Library.  She stated that since we do not have any volunteers at this time and do not plan on having any, that we can revisit this at a later date.
  • Terry will email to the Trustees a website that has a lot of information about the NH Right to Know Law as it pertains to libraries.
  • Marilyn said that the Friends of the Gale Library had a very successful Election Day Bake Sale. Their Fill a Bag Book Sale continues to be successful.
  • Carol will meet with Marilyn and Kathy on Thursday, March 29 at 9:30 am to teach them the mechanics of paying library bills. At this time the invoices will be initialed.
DATE OF NEXT TRUSTEE MEETING:  The Trustees voted to change the next meeting to Wednesday April 18 at 9 am, at the Gale Library.
