Minutes of August 13, 2012

Bill Landry called the meeting to order at 7:00 PM.

Secretary’s Report – Mary Riordan
Cheryl Saunders made a motion to accept the minutes of July 9, 2012. Sally Woodman seconded the motion.  The motion passed on a unanimous vote.

Treasurer’s Report – Bill Landry
Cheryl Saunders made a motion to accept the Treasurers’ Reports.  Marilyn Landry seconded the motion.  The motion passed on a unanimous vote.

Old Business:
Fall Festival Update: Bill Landry read an update provided by John & Kathy Meserve.  John has approximately 90 sponsor’s letters he’ll send out in early September.  He’s contacted Creative People to design the posters and tickets.  Bill will make the tickets from the PDF he gets.  The posters will be displayed in the usual places.  The date for the event is October 20th 4:30PM-6:30PM.

Stage Curtains:  Bill Landry reported he heard from Chris Hadsell, the Director of Curtains without Borders.  He expects to begin the grant process with her in a month or two for the two curtains in the Town Hall.  He has not heard from the Grange on their curtain.

New Business:

2011 Annual Financial Report: Bill Landry reported he resubmitted the report with help from the Attorney General’s office.  He received confirmation it was correct.

Laptop Donation:  Sally Woodman’s daughter donated a laptop to the Society.  Diane Morin will upgrade the memory to 1GB for approximately $33.  She will give it to Mary Riordan to transfer the Accession software. Karen O’Malley and Mary will transfer the data to the new laptop.  Karen O’Malley suggested we remove the monitors and the video machine from the Schoolhouse.  There was discussion on donating the monitors to the Town.

Other:

Reports of Curators & Committee Chairpersons:  
Curators: Donation -- Ron Saunders reported Chief Ingalls gave him a bag of pictures and documents.  He and Cheryl will go through them it and identify items we would like.  Ron and Cheryl will handle the Deed of Gift form.  Karen will get them Accession forms so they can accession items as they receive donations.  This way we can get more complete information on the donated items.

Basement window repair – Cheryl Saunders reported the Town has decided to replace the windows with vinyl windows.  

Brush growth at Marshall House & Barn –  Bill Landry believes Tim Hajjar gave the Town a quote of $250 to remove the brush from around the Marshall House & Barn.  There was discussion on the brush around the Cobblers Shop.  Karen mentioned the tree overhanging the Barn.

Hayford Carriage "repairs", put on blocks etc -- Karen O’Malley reviewed the recommendation from the Amesbury Carriage Festival concerning fixing the wheels.  She also suggested we put it on blocks.  Karen O’Malley suggested contacting Ann Miles for information on who we should contact to repair the wheels.  Ron Saunders’ indicated he may have some contacts for suggestions on how to repair the wheels.

Historian: Courtney Jason reported she has looked at the Jacket in the Schoolhouse.  She also looked at the textiles in the Marshall House.  She suggested we need a conservation plan to preserve these items.  It is common to rotate items on display every 6 months.  She suggested getting 5 polypropylene boxes and a roll of acid-free tissue paper to store these in.  Karen O’Malley made a motion to have Courtney Jason determine how much she needs for these archival storage supplies and where to purchase them and authorize Bill Landry to give Diane Morin funds to purchase them, not to exceed $500.   Cheryl Saunders seconded the motion.  The motion passed on a unanimous vote.

Archivist: Accessioning – Karen O’Malley reported she is progressing on Table 2 in the Schoolhouse.   

Programs: Fall presentation? – Sally Woodman reported she has not found  anything so we will not be having a Fall presentation.  2013 presentations –We already have the Spring presentation booked.  Diane Morin asked whether we wanted to do a July presentation based on the attendance of this July.  Bill said we had about 35 people and that was a good turnout for the time of year.  There was a discussion on having refreshments at these events.

Cheryl Saunders made a motion to adjourn.  Marilyn Landry seconded the motion.  The motion passed on a unanimous vote.  Bill Landry adjourned the meeting at 7:50PM.
