Minutes of August 9, 2010

Bill Landry called the meeting to order at 7:03 PM.

Secretary’s Report – Mary Riordan
Diane Morin made a motion to accept the minutes of June 14, 2010. Sally Woodman seconded the motion.  Karen O’Malley noted the Money Market Ending Balance was not correct in the minutes.  It should have been $6,601.70.  Karen O'Malley made a motion to amend the minutes of June 14, 2010.   Marilyn Landry seconded the motion.   The vote was Yea – 6, Abstention – 1 John Meserve.

Treasurer’s Report – Bill Landry
John Meserve made a motion to accept the Treasurer’s Report.  Marilyn Landry seconded the motion.  The motion passed on a unanimous vote.

Old Business:
Schoolhouse Repairs
Wall Repair / Replacement --  Bill Landry reported John Neveux has not finished installing the last 5 panels.  John said his plan was to plaster the walls tomorrow or Wednesday.
 
Electrical – Bill Landry reported he got Dan O'Reilly, the electrical inspector, to inspect the electrical work.  Dan did not close the permit because we need to put a box in for the light in the entry.  Then Bill will get him back to close the permit.

Marshall House Sign ReplacementBill Landry reported he has the new sign and it will be installed next week.

Granite State Poker –  Bill Landry reported he spoke to someone in the Secretary of State office to get a copy of our certificate of registration as a non-profit organization. He found out that in 2001 the Society was involuntarily disbanded by the State.  Every 5 years we must register with the State.  The last time we registered was 1995.  Bill said he did not see any form for this when he went through the  other forms we must file.  He explained we could not participate in the Granite State Poker unless we have been a registered non-profit for two years.  The Secretary of State's office indicated that if we paid the $50 fine and $75 in back fees (2000, 2005 and 2010), we will be reinstated as a non-profit

organization without loosing any years.  Sally Woodman made a motion to expend $125 in penalties and fees for register as a non-profit in the State of NH.  Marilyn Landry seconded the motion.  The motion passed on a unanimous vote.  Karen O’Malley indicated that submitting the form and fee is the Treasurer's responsibility in another organization she belongs to.    Bill agreed this would be the Treasurer's responsibility in the future. Karen suggested Bill make a list of things that must be renewed and when they are due.

Scanning Project – Karen O'Malley reported she has had scheduling issues and no progress has been made on this project.

Steve Closs Civil War Seminar – Sally Woodman reported she received confirmation from Steve on the date of November 17, 2010 at 7:00 PM in the Town Hall.  Sally submitted the form to the Town to reserve the Town Hall.  Bill Landry suggested Sally send Steve a 250th Anniversary book.  There was discussion on advertising in the Lawrence Eagle Tribune, Carriage Town News, Cable station, flyers in locations in Town, sending flyers to the schools the week before.  Bill mentioned he has a coupon from Staples for 100 copies. John Meserve said we put a press release a month before and then a week before the Fall Social.  Bill suggested each member bring a person to the event.

IMLS Grant – This item was tabled until the next meeting.

New Business:
Fourth Annual Autumn Social – John Meserve reported the event suggested it be held on October 23, 2010.  The membership agreed. John noted that with the current state of the economy we probably would not get the level of corporate donations that we have in prior years.  He will send the corporate letters out in mid-September.  Bill Landry recommended we give complementary tickets to the Rob Hayes, Nick Giorgio, John Neveux and Marla Taylor from the Peabody Museum in appreciation for their work in the Primary Schoolhouse.   The membership agreed with Bill.

Other:
Forrest Reynolds Passing –   Bill Landry said he heard there was a Memorial Service Saturday August 14th at 1:30PM at the First Christian Church.

Marilyn Landry made a motion to adjourn.  Diane Morin seconded the motion.  The motion passed on a unanimous vote.  Bill Landry adjourned the meeting at 7:28 PM.

Next meeting is Monday September 13, 2010 at the Merrimack Savings Bank.
