Bill Landry called the meeting to order at 7:04 PM.

Secretary’s Report – Mary Riordan
Mary Marshall made a motion to accept the minutes of April 14, 2008. John Meserve seconded the motion.  The motion passed on a unanimous vote.


Treasurer’s Report – Bill Landry
The 2007 account balances were reviewed.

Marilyn Landry made a motion to accept the Treasurer’s Report.  Irene Nally seconded the motion.  The motion passed on a unanimous vote.

Old Business:
Repair of floor in Primary School
Bill Landry reviewed the status for the new members.  Bill Landry received an estimate from Rob Hayes for $2,450 for the materials to replace the floor.  The joists would be rough-saw Hemlock, the sub-floor would be rough pine board and the finished floor would be finished pine board.  Bill suggested we add a 10% contingency for a total of $2,700.  There was discussion about the back room not needing a new floor and getting the materials from another source.  Cheryl Saunders made a motion to go with the $2,700 to replace the floor of the Primary School House.  Nancy Wrigley seconded the motion.  There was discussion.  Nancy Wrigley made a motion to amend the motion to read “not to exceed $2,700”.  Pat Wonson seconded the motion.  The motion to amend passed on a unanimous vote.  The motion as amended passed on a unanimous vote.  Bill Landry will contact Rob to let him know we want to go forward with this project.
Bill Landry suggested the large items from the School House be moved to the Marshall House Barn. The documents will be moved to the back room of the School House and the dehumidifier will be running in the back room.  Irene Nally gave Bill a list of the furniture that is in the School House.

Ann Miles – Carriage Barn Equestrian Evaluation May 18
Mary Marshall and Forest Reynolds will attend the event.  Ron Saunders will transport the Hayford carriage from the Marshall House.  Forest Reynolds noted that that carriage is owned by the town.  Nancy Wrigley will ask the selectman if they have any problem with us taking the carriage to the event.  Bill Landry will pursue with the town to see if they would consider turning over the Democrat Hayford carriage to the Historical Society.

Placement of Veteran Flags
Mary Marshall has the flags.  She will let people know which day it will be done based on the weather.


New Business:
Flea Market / Craft Market / Corn Roast (summer event to replace Christmas Party)
Mary Marshall suggested we have a Flea Market / Yard Sale event somewhere around the 2nd week of August to the 2nd week of September at her farm.  We would get vendors to sell their items and 20% of their proceeds would go to the Historical Society.  Mary Marshall offered to chair the committee for this event.  Mary Riordan made a motion to form a summer event committee to determine the details of the event with Mary Marshall as the chairperson.  Marilyn Landry seconded the motion.  The motion passed on a unanimous vote.

Correspondence:
Megan Carey of the Eagle Tribune
They are doing an article on what activities of local Historical Societies are doing for events people can attend close to home.  Bill Landry  explained that the Museum was open by appointment at this time and that the Primary School was not open to the public at this time.

Kathy Stone of the Lovell, ME Historical Society
She sent documents and photos of unidentified people pertaining to the Kimball Family of Newton.  Bill Landry gave the items to Irene Nally to be accessioned.


Other:
New Members
Bill Landry welcomed new members Bill Moison, Mary Anne & Russ Lapierre, Elizabeth & Fred Belsak and Mary Sousa.

Merrimac Bank Display
John Meserve reported the artifacts table we have at the bank has been a tremendous success.  Many people are stopping to look at the display.

2nd Annual Wine & Cheese Social
John Meserve reported the 2008 Wine & Cheese Social will be held on Saturday October 18th.  There was discussion about whether the School House would be ready to open to the public for display prior to the social.

Meeting time
Ron Saunders asked if it would be possible to change the meeting time to 6PM.  Several members could not make that time so the time was left at 7PM.

Update on Myrtle Rogers
Mary Marshall gave an update on Myrtle Rogers.  She is out of ICU and they are hoping to move her to the Whittier Rehab shortly.

Catalogue cards
Mary Riordan showed a sample of the catalogue card printed from the accessioning software.  Irene Nally asked her to see if the donor could be added to the card.

Mary Marshall made a motion to adjourn.  Ron Saunders seconded the motion.  The motion passed on a unanimous vote.  

Next meeting is 7:00PM Monday June 9, 2008 at the Merrimac Savings Bank.
