Minutes of Trustee’s September 5, 2012 Meeting

Members present:  Mike Hughes and Bill Landry  (Ron Saunders on vacation)

Meeting called to order at 5:00 PM. at the Newton Historical Society Headquarters.  Minutes were taken by William Landry.

OLD BUSINESS:

  • Review 2012 spending Y.T.D. and Annualized Estimate:
Y.T.D. spending was on schedule.  Town accounting numbers did not match but that is typical due to vendor payment schedules.  Estimated annualized spending becomes more difficult with the Willow Grove Lawn project, but appears to be on track and spending should be close to the default budget.

  • Review of Rules and Regulations:
Review was postponed until all trustees are present.  One thing mentioned regarding the rules was that we were going to take a close look at what will be allowed to be placed at graves and enforce our decision.

NEW BUSINESS:

  • Review of bids for Willow Grove Lawn Restoration Project:
Three companies submitted bids for this project:

  • CMI Property Solutions – Hampton, NH            $14,955.00
  • Sweeet Landscaping, LLC – Londonderry, NH       $13,275.00
  • T & M Property Maintenance – Newton, NH         $  6,500.00
The bid was unanimously awarded to T & M Maintenance of Newton, NH for a total cost of $6,500.00.  After five years of working with T & M, we know their work and have no reservations that the project will be completed to our complete satisfaction.

As previously mentioned and published recently in several venues, this project will require the closing of the cemetery for a period of time to all vehicular and pedestrian traffic.  Notice was also given that all memorials, trinkets and decorations placed on the graves must be removed no later than Sept. 7 or they will be discarded.  These requirements will be strictly enforced.
