Minutes of Trustee’s September 23, 2010 Work Meeting



Trustees present:  Bill Landry, Ron Saunders, Mike Hughes

Guests present:    Scott Blackstone – Gold Star Landscaping

Meeting called to order at 5:00 PM. at the Newton Fire Station


NEW BUSINESS:

  • REVIEW BIDS FOR 2011 &  2012 CEMETERY MAINTENANCE:
Five bids were received from various landscaping companies.  The sealed bids were opened at the meeting and calculations done to determine the cost of a two year contract for each.  The results were as follows:

  • Gold Star       $54,080.00
  • Chase           $34,400.00
  • Marden          $30,115.00
  • CMI             $23,274.00
  • T & M           $23,170.00
Based not only on the bid results; but also on the fact that the trustees have a three year history with T &M who have done an excellent job in maintaining our cemeteries and have proved to be very flexible and accommodating in meeting our needs; a motion was made by Trustee Landry and seconded by Trustee Saunders to award the 2011 &2012 grounds maintenance contract to
T & M Property Mgmt. of Newton, NH.  Vote was unanimous.

  • REVIEW OF GROUNDS MAINTENANCE SCHEDULE:
  • The “tentative” schedule published in May has been changed a few times due to weather conditions and budgetary constraints.  The remainder of the schedule appears to be satisfactory.
  • CLEAN UP OF ABANDONED CEMETERIES:
  • Hoyt Family Cemetery will be cleaned up this fall with the help of Boy Scout Troop 91.
  • The Quaker Burial Ground will be cleaned up in the spring of 2011
  • UPDATE ON LOTS IN BACK OF HIGHLAND AFFECTED BY REDESIGN:
  • A letter was sent to the Leccesse Family advising them of their new lot designations.
  • A letter was sent to the Stocker Family asking them to contact the Trustees to discuss their situation.  No response has been received.  Another letter will be sent.
  • VETERANS MEMORIAL:
Information was provided to the daughter of Phillip Smith, a veteran of WW II, as to how to obtain a name plaque for her father that the trustees would affix to the Veteran’s Memorial at Willow Grove Cemetery.

  • OTHER:
  • Update on 2010 lot sales:  Highland - 11
  • Update on 2010 interments:  Highland Cemetery – 4,  Willow Grove - 6
  • NEXT MEETING:       To be announced
