Meeting Minutes

Call to Order at 7:07 pm    with the Pledge of Allegiance
A regular monthly meeting of the Newbury Historical Commission was held at the Newbury Town Hall.

Members present: Channing Howard, Nancy Thurlow, Jan Forrest, Sue Nagle, Eva Jackman

Members absent: Lon Hachmeister

Approval of Minutes:   The minutes of the February 2015 meeting were presented.  Nancy made a motion to accept.  Sue seconded.  The motion carried with a unanimous vote.

CORRESPONDENCE:   
  • Two (2) notices were received from MVPC.  Both were for transportation changes; No action was required.  Jan was asked to try to get the mailing address changed to Town Hall for the Historical Commission.
  • Nancy sent a letter to the Newburyport Daily News regarding an article we need to place to seek new members.  Channing will follow up and add our need for someone with website training/expertise.
  • Ethics training needs to be done per State Law for municipal employees (paid or unpaid).  This should be completed by 04/10/15.  Everyone should have received an e-mail with the information.
  • Chris Skelly will be speaking at the West Newbury Town Hall, HC meeting on 03/16/15.  The focus of this will be “Roles and Responsibilities of Historic Commissions.    Channing is planning on attending.

Committee Reports:   None

Old /continuing Business
  • Jan will type up the inventory of the School House.
  • School repairs to be done spring of 2015.  
  • Sue Noyes is continuing to work on getting the committee access to the 1635 website.  We may have to hire someone to recreate the site.
  • A suggestion was made to talk about a Plaque for the School House in Chris’ memory in the near future.
  • Jan will try to verify properties on the town assessor’s website, Salem registry of deeds, and start reviewing records found in the Library. This is an on-going process.
  • We need to have multiple storage places:  CD’s-Schoolhouse; Website person; Town Hall.
  • We need new members.
  • Archival $ to be used.
New Business

  • Archival information is needed to preserve papers, maps, etc. We need to get this going to ensure the funds are not withdrawn from our account.  Gordon College was suggested as a source of information.  Sue Nagle will check with ZIP type to see if the scan magazines, photos, etc. and get an idea of costs.
  • Jan provided a list of items in the Town safe, provided by the Town Clerk, Leslie.

Discussions:  
  • We need to get to the Newbury Library to see what is stored in the filing cabinets.  Channing suggested we all try to get there (Library) on 03/17/15 at 6:00.  This is not a formal meeting, just an information gathering event.
  • Terms were discussed.  Jan handed out a list of all members & terms.  Nancy & Eva’s terms are up 06/30/15.  They requested to become Associate members.  Lon is not present to ask if he will be continuing for a new 3 year term.  
  • We need to find someone (? new member), with website expertise.  We are afraid we will lose our current website (Newbury1635.org) and all the work that Chris did to create it.
  • Nancy is keeping a running total of all costs we have incurred on supplies, etc. in Lon’s absence.  
  • We need to get our own storage/file cabinet to keep locked.  We can store it at the School House for now.  Jan will check at her office to see if we can acquire an old, unused one.
  • Archival needs were discussed.  We need to see if we can convert Microfiche to a CD.  We also have cassette tapes at the library used to record some oral histories.  Nancy made note that she had transcribed these tapes.  She did not feel they have as a great a value as hoped.  The questions asked of the folks being taped should have created a more “historic” dialogue.
  • We are still wondering where all the information Chris had in the Coffin House has gone.  Nancy suggested we ask Beth Groff at Spencer-Pierce Little Farm.

Adjournment

The next meeting of the Historical Commission will be on Thursday, April 9, 2015 at 7:00 at Town Hall. The meeting was adjourned at 8:16 PM.
