Monterey Council on Aging (COA)
Minutes of July 9, 2018 – Final and Approved (8/13/18)
The meeting convened at 10:03. Present Were: Kay Purcell, Kyle Pierce, , Norma Champigny, Ruth Champigny, Ilene Marcus, Cynthia Weber, Roz Halberstader
Minutes of July 9th were read and approved with changes.
Budget: No updates yet. Kay will be working on the closeout through July 30th, 2018. All outstanding items, including the Pittsfield Suns game will be accounted for.
Council Structure: Kay advised on the state of the bylaws and need for updating. We discussed the following issues to be addressed during the bylaw review:
- Staggering Appointments
- Length of Appointments
- Non-Appointed Roles (Associates)
- Positions (Chair, Vice-Chair, Secretary/Clerk, Treasurer/Budget, Members)
- Elections
Kyle and Ilene volunteered to work on the bylaws and will meet at Town Hall on July 23rd, 10 am – all welcome to join. To start the process Kyle will find out what is on the books and approved by Select Board.
Next Year Budget:
- The State has not determined the final amount of funding. We should plan on the same as last year $5,000 with $4,800 already approved for the van service.
Fall Dance: Proposal for the Fall Dance was unanimously approved based on email from Jeanne Compter, (recommended by Pittsfield Sr. Center). Ilene will get final contract. Kay will discuss insurance coverage with the town and cost of firehouse set-up. We discussed outreach. Ilene will ask Jeanne for a standard flyer, Kyle will work on outreach.

Summer Plans Other Councils:
August 8th (Wednesday) Picnic at York Lake sponsored by the Sandisfield Council at 11am
July 18th (Wednesday) 12 noon, $5/head Sponsored by the Otis Council, RSVP 269-0100 ext. 107
Fall Planning: Several ideas were discussed, including those already in the schedule. Ilene volunteered to start building a calendar with events in Monterey and surrounding councils (Kay and Ilene will work on computer together in next few weeks for calendar):
- Process for used needles and syringes needed in Monterey
- Foot Nurse (Beverly Dunn) scheduled 4th Thursday every other month – Kay will handle scheduling/coordination with Nurse. Dates scheduled: July 26, September 27, November 29.
- Holiday Lunch at Mt. Everett
- Another meal designated for Monterey at Mt. Everett (Each pays own way, tips from COA)
- Roadside Lunch 2x during the year
- Line Dance – if Fall event goes well, will plan a spring event
- Monument Mountain High School Lunch and Show
- Lunch at Pleasant & Main in Housatonic
- Possibly asking state for special outreach dollars for home visiting and working with other towns without Sr. Centers
- CORI Process – State process that checks that a person/volunteer has no record of being an abuser
- Shine Counselor
Answering Calls on the COA number 413-528-1443 ext. 247:
- Norma volunteered to check the phone line daily and forward calls as appropriate.
