Minutes of October 3, 2011 Meeting

Members In Attendance:  Hope Bodwell, Leslie Duthie, Dick Anabel, Martha Prybylo, Don Vacon, Audra Staples, Evan Brassard, Leona Brahen, Michael Roescher, Bill Dominic, Nicholas Beaudoin, Valarie Beaudoin

The minutes of the September 8, 2011 meeting were reviewed and, after motion duly made by Ms. Duthie and seconded by Ms. Brahen, were approved,

Open Meeting Laws

Ms. Staples provided an overview of the Open Meeting Laws for Committee members and referred members to various websites that are available if they have additional questions.

Appointment of Officers

Ms. Bodwell then presented the proposed slate of officers for the Committee.  Ms. Duthie made a motion to accept the slate of officers as follows:  Chair – Audra Staples; Vice-Chair – Evan Brassard; Secretary – Leona Brahen; and Treasurer – Leslie Duthie.  Mr. Roescher seconded the motion.  There was no discussion, all in favor, so voted with Don Vacon abstaining from the vote.

Review all Fundraising Resources

Ms. Duthie then reviewed the t-shirt and tote sale totals and directed the committee to review the list of trees that will be used in the DCR event on October 15, 2011.  In response to a question raised, Ms. Duthie explained that the selection of trees had been voted and approved at the first meeting of the Committee.

Ms. Prybylo reported on her visits to various local nurseries and reported that there is a high level of interest in providing assistance to homeowners.  She requested suggestions from Committee members on future sites for t-shirt and tote sales.  It was determined that the next opportunity would be at the DCR event.  It was also decided that a list of potential trees would be compiled by year end and sent to Amherst Nursery to aid in their effort to winter store trees of interest for spring planting.

Mr. and Mrs. Carr provided a report on their golf event.  They expressed their desire that all funds raised would be used to revitalize the downtown landscape.  The Committee agreed to keep them informed and involve them in the replanting plan for downtown.  Mr. Carr asked several questions of the Committee and Ms. Bodwell explained the charge of the Committee and our vision.  Mr. Carr then informed Committee members that he had a contact for tree donations and would refer him to the Committee.

DCR Planting Event

Ms. Duthie provided an update on the DCR planting event on October 15, 2011.  She outlined the various dignitaries that will be on hand and groups that had already expressed interest in assisting with planting.  It was decided that a water station with coffee would be available.  The planting would include 26-30 shrubs.  Ms. Duthie detailed the areas that would be planted and agreed to contact Recs Department to be sure that Dig Safe had been contacted prior to the event.

Mr. Beaudoin provided an update on his efforts to involve the high school in our replanting efforts.  He indicated that upperclassmen would more than likely be the students involved and there was much interest in participation.  He reported that a bulk bottle and can drive had been scheduled for October 15 and the suggestion was made that the drive be advertised at the DCR event.

Website

Ms. Staples provided the Committee with feedback from the web designer for the Replanting Together website and the Committee provided their responses.  Ms. Staples indicated that she has received a shell website that had been developed and had forwarded it to Carrie Vacon.  It was agreed that the Committee’s comments would be forwarded with the intention that future discussions would be held.

New Business

Ms. Staples indicated that she would like to focus on an event on Arbor Day, Friday, April 27, 2012 for a spring planting event.

Ms. Mushenko then reported to the Committee that the 1961 Monson High School Class had funds that have been raised and would be donated with the intention of planting at the site of the old high school.  Ms. Mushenko was informed that the Committee intended to consider any special requests.  Ms. Staples then instructed Ms. Brahen to compile and maintain a list of individuals who had earmarked their contributions for particular planting sites.

Mr. Dominic made a motion to adjourn.  Mr. Brassard seconded the motion, all in favor, so voted with Don Vacon abstaining.  The meeting adjourned at 8:02 p.m.
