Minutes of Meeting
Town Office Building/Police Facility Committee
Tuesday, January 22, 2013 at 6:00 p.m.

Members present:  Reed Coles; David Beaudoin; Peter Matrow; Jo Sauriol; Charles Kuss and Stephen Lobik
Members absent: Kurt Kaiser, John Goodrich, II and Dorothy Whittaker

Attendees:  Shane Nolan, Owner’s Project Manager; David King, Architect; Gretchen Neggers, Town Administrator; Deb Mahar, Finance Director; Dan LaRoche, Disaster Recovery Manager

Reed Coles, acting chairman called the meeting to order at 6:00 pm
MOTION made by Peter Matrow to accept the 1/04/13 meeting minutes, seconded by David Beaudoin.  It was so VOTED.
Shane Nolan reported that the ad for bids for the demolition and hazmat for the town hall will go out week of Jan. 28th.   The closing date for bids will be 2/6/13.  
By mid-March should have contractor on board.  Electrical contractor Troy Brown should have the trailer on site by Feb 1st.  He will move the 911 equipment.  His proposal for the entire cost of the project is $71,640 which includes the set-up of new panels and the temporary generator but does not include the cost of the trailer rental.
David King, Architect reported that all interested town departments has been through the old building.   Historical commission might want the cornerstone marked 1925.
Dan LaRoche reported on a conference call with Dept. of Energy Resources.  See attached report.
PRESENTED BILLS from architect, Kaestle Boos.  Contract installment of $50,000.00 and $9,720.00 (90% of $10,800.00) for the preparation of the demolitions bid documents.   
MOTION made by Charles Kus to pay the $59,720.00 bills from Kaestle Boos.  Jo Sauriol seconded and motion was passed.
The schematics will be shown to town employees on Jan. 28, 2013 at 10:30 am.  Three committee members will be present – Charles Kuss, Peter Matrow and Jo Sauriol.  Jo Sauriol will not attend if either John Goodrich or Kurt Kaiser prefer to be in attendance.
Gretchen Neggers credited Dave King and Kaestle Boos with making this as inclusive a process as possible for the town employees.
David King stated that at the February 4, 2013 meeting the committee will be shown what the proposed building looks like and how it will look on the site.

Discussed advising town of committee’s progresss.  After 2/4/13 the chairmen will visit the selectmen with an update.  The Town of Monson web page is up and working.
Next committee meeting will be on Monday, February 4, 2013 at 6:00 p.m.

Dave Beaudoin made a MOTION to adjourn meeting. Charles Kus seconded.   And it was so VOTED.
