Minutes

Agenda Item I – Welcome
Bill Kane opened the meeting at 6:20 p.m. with 6 voting members present.  

Agenda Item II – Approval of Minutes from October 21st meeting

Agenda Item III – Treasurer’s Report:   update on donations/expenses/reimbursements
Bill Kane, Roger Desrosiers & Joyce Ostrowski met with Brian Turbitt to create budget form (handout), Brian Turbitt will reconcile this budget with Joyce’s regularly; shows fund balance to date, minus three pending invoices.  

Motion: Carol Chiras moved to accept this budget template, seconded by Paul Raffa.  
Vote: All in favor, none opposed, passed 6-0.

Members signed the following three vouchers:
Vaillancourt Folk Art for two ornaments for $702
Prints of the Past for four miniature Village Buildings for $340
City Sporting Goods for hats for $395.28

•       Updates from each of the committees:  

Fundraising Committee
Rob Morton passed out the Fundraising Committee Meeting Agenda for the meeting they had tonight.  They put together a rough budget.  There will be several types of fundraising, but the Committee is focusing on the capital campaign.  They plan to send the Millbury Bicentennial Capital Campaign letter with the Millbury Bicentennial Events Budget and Donor Benefits together to potential major donors.  

Rob Morton presented the Donor Level and Benefits handout, recognizing donors of $2500 up to $30,000.  

Motion: Joyce Ostrowski moved to accept this donor handout as stated with one additional amendment – that consideration be given to determine a way in which to recognize groups, individuals or organizations that want to donate amounts in excess of $1000, seconded by Paul Raffa.  
Discussion: Rob Morton suggested that those donating $1000 to $2499 be considered at the “White” donor level with the benefits of receiving a plaque and decal.  
Vote: All in favor, none opposed, passed 6-0.

Roger Desrosiers suggested that we approach the Shoppes at Blackstone Valley, and said we should mention this to the whole MBC.  Bill Kane will see if he can find a contact there.  Bill asked others who know people connected to the Shoppes to send the information to Bill.

Media Committee
Paul Raffa would like to have his next Committee meeting January 21.  Roger Desrosiers thinks that something needs to be done to get the word out about promotional items.  Paul has flyers.  Paul working with Chris Brousseau to update website.  Waiting for Committee heads to participate by submitting content.  Facebook has 400 fans; e-newsletter on hold; Sean Corey putting together calendar for website; Paul has photos of some of the products that he can show to the full MBC tonight; he combined a brochure with a commemorative products catalogue with order form; printed now and will be digital as well.  Paul will include clothing and other items as well.  
Reenactment with Sturbridge Village group will probably be either October 13-14 or 20-21, 2012.  He’s also planning a Harvest Festival at Pearson’s during the reenactment of Revolutionary War.  

Events Committee
Next meeting, January 14th, Mechanics Hall contract for April 6th, 2013

History Committee
Handout by Carol Chiras – January 16, 2012 discovery day – library large room reserved on that day, history committee will bring scanners, etc.; would like to get some press on this; Carol thinks Josh Farnsworth would be willing to do something in the Chronicle – interested in your photos, ideally with people, to show Millbury as it was.  Frank Gagliardi has a number of photos.
Carol Vulter and Catherine Elliot are putting on an event at the Asa Waters Mansion in September during bicentennial year; would like to promote discovery day; Paul Raffa will contact Chronicle and Flash.  Next meeting will be January 12.

Motion: Carol Chiras moved to adjourn, seconded by Rob Morton.
Vote: All in favor, none opposed, no discussion.  Motion approved 6-0.
