BICENTENNIAL EXECUTIVE COMMITTEE

Minutes

Agenda Item I – Welcome
Roger Desrosiers opened the meeting at approximately 7:04 p.m. with 5 members present.  
Frank Gagliardi is in attendance representing the History Committee for Carole Chiras.  

Agenda Item II – Approval of Minutes from April 8th meeting
Motion: Rob Morton moved to accept the minutes, seconded by Paul Raffa.  
Vote: All in favor, none opposed, no discussion.  Motion approved 5-0.  

Agenda Item III – Treasurer’s Report
People can send checks written to the Millbury Bicentennial Committee to the Town of Millbury address.  

7:08 Ron Marlborough arrived.  

Agenda Item IV – Updates:
The MBC will have a table as the Lincoln Event on May 16-17.  Roger Desrosiers will email the whole MBC asking for volunteers for Saturday and Sunday, 11:00 a.m. to 4:00 p.m. each day.  

Agenda Item V – Committee Reports:
Rob Morton discussed the tasks for the Finance/Fundraising Committee.  He said there will be a monthly meeting of this Committee.  It was discussed that to have a goal for fundraising, we need to start by deciding which events we want to have and set the budget for them.  

Ron Marlborough discussed the tasks for the Events Committee.  He pictures putting on six to seven major events with additional sub-events and spin-off events.  The Committee needs to meet to make these decisions.  Roger Desrosiers suggested an event related to the American lyceum movement.  

Frank Gagliardi discussed the tasks for the History Committee.  Roger Desrosiers suggested that we target Millbury High School anniversary classes (1988, 1963, etc.) to come back for their reunion and MBC events in 2013.  

Paul Raffa discussed the tasks for the Media/PR Committee.  He said he has a Facebook page for the MBC with over 100 people interested.  Paul asked that all Committees keep him informed about everything happening related to the MBC and that all materials that include the logo should be run by him before printing/distribution.  Paul suggested we utilize our email contact lists to push people to the MBC website for donations.  

Agenda Item VI – Old Business:
Discussion of May 5th kickoff.  Paul Raffa said about 170 brochures were passed out.  A few people gave their contact information at the meeting to volunteer for the Committees.  Going forward, all volunteer names and others interested in the Committee should be given to Rebecca Rehm who will collect their contact information and email them, copying the relevant Committee Chairs and Vice Chairs, to thank them for volunteering.  Rebecca will maintain this contact list and distribute as needed.  

Bill Kane ordered T-shirts with the Bicentennial logo on them from City Sports.  People can purchase the shirts for $30 each and more shirts can be purchased on a case-by-case basis.  

The MBC received $5,000 from the Town to be used in fiscal year 2010, which begins July 1, 2009.  We will discuss the allocation of this money at a later date.  

Would like to have next press release on June 11, 2009 to announce celebration time frame, donations, website, etc.  Roger Desrosiers suggested that we target businesses both located in Millbury and those outside that do business with Millbury.  

Agenda Item VII – New Business:
Paul Raffa gave an update on the Millbury Bicentennial website and email account.  Paul will give an explanation of Facebook, the website, email, etc. at the next full MBC meeting.  

The Executive Committee will set guidelines about how Committee meetings should happen i.e. public venue for first few meetings, meeting once per month in 2009, etc.  



Agenda Item IX – Adjournment:
Motion: Paul Raffa moved to adjourn, seconded by Bill Kane.  
Vote: All in favor, none opposed, no discussion.  Motion approved 6-0.
