MINUTES

Attending: Letitia (Tish) Smith, Patricia G. Jenks, Town Clerk, Carole A. Bont, Administrative Assistant, Don Metz, Jane Fant and Michael Woodard

In Pete’s absence, Carole conducted this meeting. The meeting was called to order at 11:30 AM in the Fire House.
~
1—The committee reviewed previous proposals for relocating some offices off-site, and the issues surrounding the cost and efficiency of connecting computer lines off-site.
~
2—It was suggested that the Facilities Committee meet with the Board of Selectmen to have a direct and clear discussion of issues and recommended resolutions.~ Carole confirmed that this meeting could be held at the next scheduled BOS meeting –Wednesday February 1st at 9AM.~ (Later moved to 8AM).

3—The committee reviewed and made a few revisions to the draft letter proposed to be mailed to the community in an effort to communicate town office concerns and encourage community input.~ The letter will be presented to the Selectmen prior to mailing.~

4—The review of the URS proposal offered by Mark Shamon, PE for Space Planning, Needs and Analysis prompted a discussion which centered around feasibility costs and duplicating procedures previously done. Don Metz offered that based on a conversation he’d had with Geoffrey Thornton, Geoff would be amenable to doing an assessment of the space needs and working up preliminary proposals for a new building and retrofitting an existing building.

Because anything done on feasibility studies will take funding not immediately available through normal budget sources prior to town meeting, Lyme Foundation will be approached about helping to fund up to three thousand dollars toward this phase of the project.~

The meeting adjourned at 1:00 pm.~ Next scheduled meeting is Monday February 6th at 11:30.
