NEW TOWN OFFICES COMMITTEE
MEETING MINUTES
April 21, 2009



Members Present:  Frank Bowles, Don Metz, Jay Smith, Simon Carr, Michael Woodard, Judy Brotman.
Others Present:  Stephen T. Campbell.

The meeting was officially opened at 8:00 am by co-chair Don Metz.

  • The minutes of April 14, 2009 were approved.
  • Steve Campbell reviewed a number of  items of concern to the Library Trustees:
  • The Library would like to add 20 chairs to the Town’s order for chairs for the meeting rooms (from Lyndonville).  
  • Who will be moving the offices?  A professional moving company has been hired to move everyone on June 8th.  There may be some minor additional moving required before or after that date.
  • The “Box” is already mostly emptied.  The town will have the box removed and will reseed the lawn area impacted by the box.
  • Everything in the Town Offices is going to be moved out – with the possible exception of a few shelves.
  • The Library’s telephone system should remain unchanged as they have their own separate system.  
  • The Library billing system should be unchanged from the present system.
  • The Library should contact Chief Hinsley regarding the E911 address for the Library.
  • Several suggestions were offered for storing the air conditioners.  Additionally, Frank and Don suggested that ARC Mechanical should be contacted to come in and do an estimate of a split system for the building.
  • The Committee recommends that the same type of air conditioning system should be considered for the new Town Office building should it be felt that air conditioners are required.  At this time, it is believed that the super insulation and design of the building will be sufficient to keep the work space well ventilated and comfortable for summer use.
  • The Committee agreed that the Blaktop quote should be approved, with a base coat being installed this year, and the top sealant coat being installed in the spring next year.
  • The stoop and generator pad will also be paved.
  • The power from the house to the meters, located on the back of the police station, should be run in a conduit.
  • Additional lines have been run to the house and the garage.
  • The vault shelving has arrived.  Daniel and Dina have keys to the vault.  
  • The Police Department office is having some shelves built as a part of the project.  Not included in the project are some garage repairs.  These will need to be funded out of their department budget.  If there is some funding left at the end of the project, some of the extras required by the police department may be able to be wrapped into the project.  The PD move will be a part of the project cost.  
  • Any of the unwanted Town Office furniture will be put on listserve, but other town offices will have first “dibs” on the furniture.
The meeting adjourned at 8:40 am.
