Meeting minutes for October 16, 2014
Members present: Peggy Lowell, Janet Mullins, Lynn Harhay; Libby Westie, Director
The Chairman called the meeting to order at 4:03 PM
Old Business
- Policy: The ‘Posting Materials’ policy was approved by the Trustees 3-0 on October 16, 2014 and sent to Libby for inclusion in the Library’s Policy notebook.
- Director’s report: Libby presented her monthly report that included her letter of resignation to the Board.
- Financial report to State: The report was sent to the State before the deadline; Libby indicated a need for an easier accounting system.
- Staffing and continuing education: The Library will be closed for 1 ½ hours so the staff can attend the Small Libraries Forum at the Sturbridge Host Hotel.
- Emergency plan: A key has been obtained from the Town Clerk with the alarm code for use in emergency situations.
- Newsletter: The newsletter was sent out to town residents on October 16, 2014 with some positive feedback.
- Friends of the Library: Libby will continue to try to form a friends group before her departure.
- Building committee and plan: No action was taken on this item.
- Book Club: The Book Club presentation on the Hoyt’s books was successful; a group went to see the film ‘Gone Girl’; the schedule is set for the club through February.
- Historical Society: This group is on hold; no action was taken.
- Late fines for Seniors: The Board voted 3-0 to retain the current policy.
- New computer: The new computer obtained through a grant has arrived and needs to be installed.
- Library maintenance: Libby has not heard from John Groccia regarding the ceiling repair; electrical work, shelf changes and painting also need to be addressed.
- Bulletin boards: Libby and Joanie are working on attaching one for pamphlets.
- Library tree: Libby will contact Dave Buccelli for a tree and also get a quote from Michael Thibault.
- Policies: This item was tabled.
New Business
- Budget priorities: The Director needs to be thinking about this topic before the meeting with the Finance Board.
- Food for fines: This program will go into effect now until the end of January; one can of non-perishable food will eliminate $1 worth of fines.
- Trunk or treat: Libby and Kelli Robbins are organizing the Library’s part in this event.
- Director’s resignation: The Board was sad to hear of Libby’s resignation and made plans to advertise the position in local papers, on the Town’s website and cable channel and at the MBLC.
- Next meeting: November 20, 2014
