Recreation Committee Meeting Minutes

Lisa called the Recreation Committee meeting to order at 7:00 p.m.
MINUTES: A motion was made by Erin and seconded by Lisa to accept
the minutes of the October 9, 2012 meeting.
The minutes of the October 9, 2012 were approved unanimously.
DIRECTOR’S REPORT:
Programs:
Before/After School Programs
Denise went over the numbers for the Before & After School Programs. We currently care for 258 children each day. The total is down 4 from last month, but the numbers in the programs remain strong.
Davis Hill – 52 AM and 52 PM (both sessions have waiting lists AM–13 & PM-9)
Mayo - 46 AM and 52 PM
Dawson – 23 AM and 33 PM
Lisa asked if we had received the formal licenses and Denise said we had received them for Dawson and Davis Hill, the two schools that needed to be re-licensed this year. Mayo has always been done on the off year from Dawson and Davis Hill. Denise will be getting Mayo re-licensed this spring in anticipation of getting all three schools on the same schedule for future re-licensing.
Adult Programs
Denise went over the registration numbers for Session 2 classes. Classes include Hatha Yoga on Tuesday mornings with 15 participants and Thursday mornings with 11 participants, Zumba has 8 participants, Zumba with Pilates has 9 enrolled, 3CPYo 12 enrolled, Yoga for Every “Body” 8 participants, Flip it for Fat Loss 8 participants. The Melt It and Boot Camp classes will be offered again in January. The Creative Sweatshirt Jacket class has not had any registrations. A 3-hour Yoga meditation retreat will be offered on December 5, 2012 from 9:00 am. to 12 noon at the Light Department. Robin asked about the cross country skiing class and Denise went over the times and fees. It will run for 6 Saturdays starting January 5, 2013 at a cost of $28.00 for the 6-week session. Classes for
ages 10 and up will be from 8:30 – 9:00 a.m. and for children ages 5-9 the classes will be from 9:15 – 9:45 a.m. People must have their own equipment. Denise has gotten a few questions regarding the skiing and snowboarding at Ward Hill, but we will probably not be offering that program this year, since the numbers have decreased dramatically over the years, which is probably due to the expense of it.
Erin asked if the volleyball and basketball programs were still going on and Denise said yes. Denise commented that the numbers for basketball usually go up in the winter months.
Miscellaneous:
Denise put together her capital budget requests for fiscal year 2014, which begins July 1, 2013. She feels they are a good use of recreation money, and hopes that they will be approved. The requests include replacing the caulking in the lap pool, purchasing an automatic pool vacuum, work to be done on the exterior of the pavilion at Trout Brook, which would include siding, painting, exterior lighting and a new garage. These are things that need to be done to keep things in good working order.
Because of the uncertainty of the Mountview School building project, projects that Denise originally wanted completed in FY’14 have been pushed out to at least FY’18. These projects included renovating the infield on the baseball field (similar to the Bubar field), and sealcoating the basketball and tennis courts. Due to the school project, it is uncertain what the field and court situation will be. Denise feels we are going to be in a crunch for field space for the next few years. She’s been in contact with the different league directors to get a feel for what their needs will be. At one time, Denise had thought about developing a field at Kimball Park (off Wyoming), but has reconsidered since there is no adequate parking there. Holden Youth Soccer has been in contact with Denise
about developing a piece of property by the Mayo School (land opposite the first playground). They would like to put in two soccer fields and a multi purpose field.
Discussion took place regarding a new Holden Youth Basketball league being run by Tom Conrad. They have an excellent web site, have been doing clinics and will be using the school facilities for their program.
Denise mentioned a capital project that was completed this year. A new backstop and fencing for player protection was put on the Little League and Triple A field at Dawson. Benches will be put there in the spring for the players.
Santa’s arrival to town will take place on Saturday, December 1st at 5:00 p.m. Lisa made arrangements with the First Congregational Church to pick up the key on November 29th or 30th. Nancy has volunteered to do that and then they will meet at the Church on Saturday at 3:00 p.m. to start heating up the popcorn machine. The candy bags are being put together by the Girl Scouts.
The Recreation Department extends our warm wishes to the Committee members and their families for a Happy Thanksgiving.
