D. COMMITTEE REPORTS/PRESENTATIONS/PROCLAMATIONS
1. Audit- Sexton & Schnoll
Sexton & Schnoll presented the City of Hawthorne Audit for the year ending September 30, 2011.
Ms. Cecelia Burris discussed the city financial condition and informed the City Commission and public the city financial condition has improved this year.
Mr. Marc Schnoll discussed the audit findings for the City of Hawthorne and informed the City Commission and public that staff has already made the corrections and the city is moving the right direction.
2. Antenna Buy Out
Ms. Larry Segal, representative from Unison gave a presentation on an Antenna Buy Out. Unison would purchase a lease for an easement and put up the new equipment on the side of the easement and this would generate revenue for the City of Hawthorne.

2. Historic Hawthorne Memory Brick
City Manager Vause- The Hawthorne Area Community Foundation started a Memory Brick program in 2009 and they are seeking permission to place the memory bricks at the City Museum.
Moved to approve HACF to place the memory bricks at the City Museum.

3. Cemetery Association Update
City Manager Vause gave an update at Commissioner Carlton’s request on the progress on the Cemetery Association and the upcoming vacancies. As of this date no one is willing to fill the duties of the Cemetery Association Board and Staff will have to be trained to meet the duties of the Cemetery Association.
4. Roof Repair at City Hall
City Manager Vause- The roof at City Hall has developed two leaks in the Masonic Lodge area. Staff is seeking direction on the roof repairs and asking how much of the roof repairs is the Masonic Lodge responsible for?
Mayor Surrency- Masons are responsible for 37% and the City is responsible for 63%
5. Roof Repair at City Museum
City Manager Vause- The roof at the City Museum has developed two leaks. Mac Johnson gave a courtesy bid with two options for repair. Staff is recommending the roof be repaired quickly.
Moved to do the repair and not to exceed $1K.

6. Temporary Use of Fire Department
Commissioner Roberts- Life Enrichment needs a larger meeting place because the membership has increased. Asking the City Commission to think of allowing us to use the fire building until Alachua County Fire & Rescue decide if they will come back.
7. Old Health Department Property
Commissioner Roberts- After the building is burned down is asking the City Commission to consider using the property as a future site for the Life Enrichment Center.

8. City Manager Contract
City Attorney Harris- Before you is copy of the current and proposed City Manager contract. The only changes were the term and salary.
The City Commission and Staff discussed the proposed contract. The item will come back before the City Commission at the September 4, 2012 Commission Meeting.
9. Citizen of the Month
Mayor Surrency- He originally nominated Mr. Carl Lee Grimes. Are there any other nominations?

City Manager Vause gave an update on the City’s current conditions and informed everyone of the CRA Meeting on September 12 @ 10AM.

Mayor Surrency- Hope for Hawthorne Back to School Bash was great. Brown Bag seminar by the First United Methodist Church on August 15, 2012 10:00AM-Noon on Home Security. Boat ramp is now completed.
