5:45 PM – Fire Chief, Loren White -
· Knox box – This was previously discussed between Selectmen. The unanimous decision was made to not allow the Knox box be the means on entry to the “old town office”. There will be an additional key made, the key will need to be signed in/out as needed from the central office. However, Chief White indicated the Knox box currently does not have a key to that building, a copy of the key will be provided for the Knox box, however it is not to be kept by anyone, it is for emergency use only. Discussion of Ms. Anfuso obtaining the key from the central office when it is necessary to sign it out.
· “Old Town Office” for training – It will be the SCBA training – Selectmen would like to see the building used, there is to be no damage to the building. Selectmen unanimously approved this request.
· Community Service – Chief White discussed utilizing teens within the community for cleaning the old town office. Teens are required to obtain a certain number of community service hours each year for school. Volunteer forms will need to be signed by parents, as well as the acknowledgement forms for the school. This request was unanimously approved; Chief White will be in charge of coordinating the children, he will also provide the Selectmen a list of who will be volunteering and when.
6:00 – Supervisor of Checklist, Linda Dodge – Mrs. Dodge discussed the recent loss of the voter checklist database from the server. She was concerned that someone might have removed it from the server, further discussed that she was not concerned about the data being gone, they retrieved the file back from the state and they will have most of the data, but the file from the state doesn’t have a party affiliation. Voter history is also missing. We have history up until it was taken off Linda’s laptop, which was November 2004. She asked if the server is pass worded, what is the security measure to assure this could not have been mistakenly deleted.
The Administrative Assistant explained that the server is backed up daily, however recently it did have a problem and has been fixed. The IT person had discussed with the Administrative Assistant that maybe a blank document was saved over the live data. She further stated that this particular document has never been on the server; it had a named file, but no data in the file. Any important documents should have a hard back-up, as well as a back-up that is kept off-site. This is done with all other extremely important information. Further discussion followed.
Mrs. Dodge reported that effective January 2006, the State would become responsible for the back-ups. A new program, written by the State and called E-Harbor will allow for more accurate tracking of voters. Has sent Molly Anfuso & Linda Dodge as name who will be the contacts, they will work together with the State. This program will be able to add information such as birth dates, etc. Dodge explained that approximately 20 hours of work for Anfuso and herself to reinvent the database. They were wondering about payment for this time to correct this problem? Discussion followed, no decision was made, and as there were no funds budgeted for this.
Motion by Selectman Brooks that hard copies (disk & paper) in the future of such documentation be kept as a secondary back-up. Seconded by Selectmen Rainier & Dumas. Voted: Affirmatively.
6:30 – RSA 91A:3 II (c ) Motion by Selectman Rainier to enter into a non-public session, Seconded by Selectmen Brooks & Dumas.
7:10 – Motion by Selectman Rainier to enter out of the non-public session and to further seal the minutes. Seconded by Brooks & Dumas. Voted Affirmatively
Decision: Selectmen will continue to discuss this next week
Appointments:
Dave Buchanan – Mr. Buchanan was wondering about the septic – pipelines are in, placement is in an inconvenient location, wants to know what to do about this. Selectmen will discuss this with the engineer. Mr. Buchanan has seen the plan, the pipe is where the plan indicated.
Administrative Assistant will contact Mr. Buchanon after speaking with the engineer

· $250.00 fine for littering signs – Administrative Assistant spoke with Carl Hussey from the Bureau of Traffic on Tuesday. They do not encourage installing “no littering,” signs unless there is a very serious problem (i.e. couches, loads of garbage etc.) He said that historically, these signs almost promote littering unless local police strictly enforces it.
Flu Shots – Flu Shots are scheduled on Wednesday - October 19, 2005 at 2:00 pm, the Town Office $20.00/shot
Barn Easement Hearing – Scheduled for Thursday, September 29th, 2005 –Jim Rice just got back to us on this matter. The applicant is Jane O’Donnell, Holden Road – Administrative Assistant provided information on this for Selectmen.
Traffic Flow Changes - A hearing will be scheduled for October 13th at 6:30 pm to discuss installing stop signs at Mountain Road, Blanchard Hill Road & Thomas Road. This will be posted in the papers.

· Allen & Mathewson - #2 - $2.099/gallon - $22,039.50; propane 1.499/gallon - $8,544.30;
· Eastern Propane – propane only – $1.59 – 5,700 gallons - $9,063.00
Motion by Selectman Brooks to accept the least expensive prices, Seconded by Dumas & Rainier, it was further motioned if we must take the “bundle”; we move to go with Allen & Mathewson. Voted – unanimously in the affirmative
