Joint Loss Management Committee Meeting

Present: Tim Murray, Gail Smith, Aaron Patt, Loren White

The meeting was opened by Loren, past Chairman of the JLMC, at 4:02.

The first order of business is to elect a chairperson for the 2012 year.

After a brief discussion, Murray motions and Smith seconds to re-elect Loren White to the position of Chairman of the Joint Loss Committee. The vote was 3-0 with one abstention and unanimous among all the members. White expressed his thanks and indicated he would accept the position.

White then took the floor of the meeting and suggested that a Clerk be elected as the next priority. On a motion by White and a second by Smith Aaron Patt was elected Clerk of the Joint Loss Committee.

A discussion followed regarding committee membership. It was suggested that each of the departments have a member and an alternate in case a member could not attend a regularly scheduled meeting. The department’s members were suggested as follows:

Police Department
Glenn Roberge – with Frank Shea as back-up

Highway Department
Tim Murray – with Charles Buttrick as back-up

Stephenson Library
Gail Smith – with Kristin Readel as back-up

Transfer Station
Carol Burgess – no back-up available

Executive
Aaron Patt – no back-up available

Fire Department
Loren White – there may be a back-up fire department person

Building Inspector / Code Enforcement

The next order of business was to discuss projects in Town that should be accomplished in 2012. A previous years minutes were on-hand for review, including a list of projects/safety items that past JLCM had discussed.

Additional items that the members were aware of in 2012 included the following:

Murray indicated that the Meeting House furnace room and basement needs a thorough cleaning.

Smith indicated that the computer cords in the Librarian area of the Library needs taping down in order to prevent potential injury. Also the front door is found unlocked from time to time and appears to be from people letting themselves out and not realizing that this unlocks the front door.

Patt indicated that the Town Office needs a better key box that can be locked. Also the basement of the Town Office storage area is in need of a thorough cleaning. This would require that the Tax Collector spend time in one of the rooms and go through any past Tax Collector records to ensure that long term storage requirements are met.

Murray indicated that he could help with the Meeting House and the Town Office by bringing in a truck to haul the dis-used items up to the transfer station. Murray indicated that the Meeting House and the Town Office basements should be made safe and clean. Murray indicated that the JLCM could make a punch list and then reconvene after some of the work has been accomplished.

It was noted that Smith had another engagement and there being no further business the committee adjourned at 4:35.
