225th Town of Greenfield Anniversary Committee

Meeting Minutes
1. Meeting called to order: 6:10pm
2. Attendance: Present: D.Adams, B.Caron, M. Caron, A. Hale, K. Readel.
3. Secretary’s report: Dorene emailed the November minutes. Dorene made a motion to accept the minutes as emailed, Kristin 2nd the motion and it was voted yes to accept the minutes as emailed.
4. Any guests or visitors? None
5. Town Report due Jan. 9th 2015: Dorene wrote up a short report of what the committee is doing and emailed it to the committee members. It was approved by the committee and emailed to Aaron at the Town Office.
6. Fundraising: The first fundraiser, scheduled for Sat. Jan 24th 2015 at the Meeting House is a Lasagna dinner and show. Tickets are $20 and are on sale now. Dorene went over the details of the dinner and show with the committee. We have people volunteering to make the Lasagna’s and area businesses donating other items which are not finalized yet, people volunteering to serve the dinner and perform in the Family Feud show. It should be a fun evening.
7. Advertising the Event:
- Posters announcing, “Save the Date to Celebrate” will be or have been put up at:
The Post Office, The Recycling Center, The Town Office, The Library, The Meeting House
Harvester Market, Businesses in town that want to display one.
- Letters to Town Groups and Businesses:
Kristen and Sue will be working on an informational letter to give to residents and businesses inviting them to participate in the parade or be a vender at the event. Dorene will help find contact people and email addresses. We will address this at the March meeting.
8. Fireworks: Adelle is waiting to hear back from the State and from the Town in regards to this. Pending.
9. List of upcoming meetings and topics:
Dorene is working on a list of future meeting dates and assigning a topic so we have an opportunity to discuss ideas regarding different aspects of this event at length. At this point, we do not need to meet every month. Will have this ready for the March meeting or sooner and will email it to the committee.
10. Parade Coordinators: (Bob & Maureen Caron) All committee members are urged to forward information regarding parade participants. Dorene gave Bob a list of marching bands and contact information. Discussion ensued about how many bands and what types we are looking to have. This will be brought up at another meeting in more detail.
11. Vender Coordinator: (Katherine Heck) All committee members are urged to forward vender information. Adele mentioned the idea of possibly asking various organizations in town to consider doing a replica of an old fashion store front or business fronts similar to those “back in the day”, with the idea that we could create what would look similar to a Colonial Village! Suggestions like the G.E.S. P.T.O. could do an old fashion school, the Historical Society could do a General Store, etc. etc. Other Venders who participate could dress in costume etc. We all agreed that was a great idea and will encourage their creativity! We will have a separate meeting to discuss, in detail, what types of venders, both craft and food, we would like to have, as well as meeting with Greenfield groups, organizations and businesses in regards to the
above ideas. Also a brief discussion on having entertainment at the Gazebo throughout the day as well as having jugglers, clowns and a town crier walking though the grounds during the day. This will be discussed at a later date.
12. Any other items to discuss?:
- It was suggested that we all try to meet with and have conversations with town residents and groups regarding how they can participate in this event. One on one conversations work better than a long letter!
- Dorene and Kristin will be asking some people to help with advertising, making posters and flyers. Dorene mentioned that Brenda M. will ask the CONVAL graphics class if they would be interested in creating a logo design for us using the Town seal.
- Calling this event an Anniversary vs. Birthday was discussed, as we had been interchanging the two. This event will be considered an Anniversary event and we will be dropping the Birthday wording on all printed material.
- Greenfields actual Anniversary date is June 15th, 2016 and we would like to have a cake and ring the Meeting House bell. Discussion ensued with other ideas. We will iron out exact plans at another meeting.
- Warrant Article: Adele asked if we needed to write up a warrant article to be brought up at Town meeting. Do we need to have an account established for the funds we raise and how will that be handled. The committee agreed to have Adele see Aaron about this and let us know via email.
- Next meeting is Thursday, March 5th, 2015 at 6pm at the Library.
