225th Town of Greenfield Anniversary Committee

Meeting Minutes
1. Meeting called to order: 6:12pm
2. Attendance: Present:Dorene Adams, Adelle Hale, Kristin Readel, Sue Moller, Bob Caron, Maureen Lalime.
3. Secretary’s report: Dorene emailed the Minutes from the Oct. meeting. Sue asked if we had voted to put in a line item in the budget per Katherine Heck’s suggestion. It was not clear in the minutes if someone was designated to do so. The October minutes will remain unchanged. We did not designate anyone specifically to do so, though we agreed this should be done. We will address this at the end of the meeting.
4. Any new committee members or guests?
Brenda Marschok wants to join the committee. Dorene has given the information to Aaron and he will let us know when Brenda can be sworn in. Brenda is unable to make the meeting tonight.
Carelle Mayer has expressed an interest in joining the committee, but is unable to attend Thursday night meetings. Dorene will send her a copy of the minutes and keep her informed of plans.
5. Town Report: Catherine Shaw emailed Dorene to ask if the committee will write a report to go in the Town Report for March. This will need to be done and turned in by Jan. 10th. Dorene will write a report for the Town Report and will email it to the committee members for approval.
6. Fundraising: We need to focus on raising funds in order to have money to put towards the event.
Dorene explained plans she had for the first fundraiser scheduled for Sat. Jan 24th 2015 at the Meeting House for a dinner and a show. Dorene is working on the show and meal plans. Finalization will be addressed at the Jan. meeting and committee members assigned tasks for the evening.
7. Advertising the Event: FYI
- Posters announcing, “Save the Date to Celebrate” will be or have been put up at:
The Post Office, The Recycling Center, The Town Office, The Library, The Meeting House
Harvester Market, Businesses in town that want to display one.
- Greenfield Spirit: A copy has been sent to Karen and Arron for the next issue of the Spirit. An advertisement will appear in every issue of the Spirit until the event.
- Letters to Town Groups and Businesses:
Kristen and Sue will be working on an informational letter to give to residents and businesses inviting them to participate in the parade or be a vender at the event. Dorene will help find contact people and email addresses. It would be good to have this ready in Jan. or Feb.
8. Fireworks: Adelle is waiting to hear back from the State and from the Town in regards to this.
9. List of upcoming meetings and topics:
Dorene is working on a list of future meeting dates and assigning a topic so we have an opportunity to discuss ideas regarding different aspects of this event. At this point, we do not need to meet every month.
10. Discuss the Parade: We need to decide what we want and then work toward that. A sample parade line up was handed out. Discussion ensued about time, starting points, ending points, parking and participation. We will be looking into Marching Band options and costs. Bob Caron volunteered to be the point person for this part of the event. All committee members are urged to forward Bob information regarding parade participants. We discuss this again at a later meeting in more detail.
KEEP IN MIND: If everyone keeps an eye open for opportunities to discuss the 225th Celebration with town residents, Town groups and businesses about being a part of the parade or events at Oak Park, this helps generate awareness. Also, if you come across a vender, get a business card, name or email address and forward it to Katherine Heck, our vender coordinator.
11. Any other business: None was discussed.

Note: The date of the celebration will be Saturday, June 25th, 2016. Which should be after CONVAL’s graduation and end of school.
The original founding date was June 15, 1791, which will be on Wed., June 15, 2016.
We will have a birthday cake and ring the Meeting House bell on the actual date.
