School Building Committee
Meeting Minutes 10-12-10


Present were:  Carol Jacobs, Tim Gerraughty, Glenn Clohecy, Mike Farrell, Michelle Smith, George Comiskey, Ellie Sinkewicz, Kerry Stauss, A.J. Aulson, Terry Wiggin, Tillie Evangelista, Anne Blythe, Peter Durkee, John Bonazoli

Absent were:  Lt. Donald Cudmore, Phil Trapini, Jeff Wade, Donna Tanner, Eric Zadina

Ellie Sinkewicz and Michelle Smith facilited the meeting

  • Approval of meeting minutes from 10-6-10 meeting
Action:  A motion was made by George Comiskey to amend 10-6-10 minutes in section #9 to read School Building Committee recommends a figure of $720,000 to be appropriated at fall town meeting for the purpose of conducting feasibility~study on the Penn Brook School, and requesting that our portion~of~51% or $367,200 comes from free cash.~~~
(11-0). Motion carried

  • Discussion of Marketing Brochure and SOI Summary.  Revisions and corrections were made to both the brochure and SOI with a goal to have completed documents by 10/15/10.  Specific changes included:
  • Including town website and links to SBC on brochure
  • Date and Time of Town Meeting
  • Penn Brook School Tour Dates and Times
  • Safety Issues added
  • Added bullet answering how the feasibility study will be funded
  • Concerns about gym flooring and existing flooring throughout the building
  • Rubber membrane roof needs replacement
  • Intro language added to SOI  Summary
  • Discussion of PR Campaign.  There are approximately 6000 registered voters in town.  We estimated that we would need approximately 2400 copies of the brochure.  Cost is approximately $230 for black and white, which would include the folding.  The SOI Summary is something we will be printing on our own.  The SBC has no funding for marketing campaign.  Some anonymous donors have come forward as well as committee members to help with costs.    
            Distribution methods to include:

  • Mail-drop – members agree to help with distribution throughout neighborhoods in town
  • Interview in Georgetown Record
  • Letters to the Editor
  • Invite Georgetown Reporter to Penn Brook for a tour
  • Spotlight on Georgetown
  • Signage on Private Land – Vote YES!
  • Scroll on local cable station
  • Flyers on Windshields

  • Discussion on Terry’s estimates of deferred maintenance and Code Upgrade for the current Penn Brook School.  The documents are a draft and include results from the 2002 feasibility study as well as updates with anticipated numbers of a project that could potentially start in the fall of 2012.  It is detailed list but Terry is still looking into it and asked the committee to let him know if anyone had any additional information or knew anyone in the business could help with some of the estimates.  Right now, the number exceeds $10mil to deal with all the deferred maintenance and life safety code issues.

Task List:  Goal is to have marketing materials ready to go by the end of next week, 10/22/10

  • Ellie to make brochure changes by 10/12/10 and send to committee
  • Tim to set up Facebook page by 10/15/10
  • Michelle and Glen to discuss printing options and color vs. black and white
  • Michelle and Ellie to contact Georgetown Record prior to 10/15/10 to get article and/or blurb in paper every week leading up to Town Meeting
  • Michelle and Ellie to invite reporter from Record to tour Penn Brook
  • Eric to speak to Beverly Enos regarding Spotlight Georgetown
  • George to coordinate mail drop, week of 11/8/10
  • Tim to get Ellie contact information regarding scroll getting added to cable station
  • Anne to request resident and street listings to help with mapping out and coordinating mail drop
  • Michelle to contact Colleen at COA to gain support and possibly attend Trestle Way Gentlemen’s Breakfast
